Role Overview
The Stenographer will provide comprehensive executive and administrative support to the Program Director by managing communication, documentation, scheduling, and coordination activities. The role demands strong stenography and typing skills, excellent organizational abilities, professionalism, and the ability to handle confidential information efficiently in a dynamic work environment.
Key Responsibilities
1. Executive Assistance-
* Provide administrative and secretarial support to the Program Director.
* Manage calendars, appointments, meetings, and travel schedules.
* Screen and prioritize calls, emails, and correspondence.
* Coordinate internal and external meetings, reviews, and official engagements.
* Maintain professional communication with stakeholders and partners.
2. Stenography & Documentation-
* Take dictation in shorthand and transcribe accurately within timelines.
* Prepare minutes of meetings (MoMs), summaries, reports, and presentations.
* Draft official letters, emails, notes, and correspondence.
* Ensure accurate formatting, proofreading, and timely submission of documents.
3. Coordination & Follow-up-
* Track action items and follow up with teams for timely updates and closures.
* Coordinate with departments, consultants, vendors, and project stakeholders.
* Support preparation of agendas, briefing notes, and review materials.
* Assist in organizing workshops, review meetings, and program events.
4. Records & Office Management
* Maintain confidential files, records, and project documentation.
* Organize digital and physical filing systems for easy retrieval.
* Ensure proper documentation and record-keeping of key decisions and communications.
* Handle visitor management and office coordination activities.
Required Skills & Competencies
* Excellent shorthand and typing speed.
* Strong written and verbal communication skills in English and Hindi.
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
* Strong drafting, documentation, and coordination abilities.
* High level of confidentiality and professional conduct.
* Ability to multitask and manage priorities effectively.
* Attention to detail and time management skills.
Qualifications
* Graduate in any discipline.
* Diploma/Certification in Stenography or Secretarial Practice preferred.
* Relevant experience as a Stenographer, Executive Assistant, or Personal Assistant.
Preferred Experience
* 3–7 years of experience supporting senior leadership or program management teams.
* Experience in government programs, development sector, consulting, or corporate environments preferred.
* Familiarity with official correspondence and meeting documentation practices.
Pay: ₹27,500.00 - ₹46,000.00 per month
