The PMO drives customer success and operational efficiency by assuring that the Auritas standards are upheld and are clearly defined throughout each project’s definition and execution.
The Administrative Assistant, PMO will be responsible for assisting the PMO manager in process definition, project administration, project reporting, project tracking, project billing, and project staffing. Although Project Management or PMP certification is not required, the candidate will be given online project management training.
- Provides Administration and management for projects
- Validates change requests prior to submission.
- Supports leadership in strategic analysis and participates in delivery process improvement efforts. Helps develop reports and spreadsheets as needed.
- Manages metrics to monitor project success and reports progress against the defined objectives to the executive leadership team.
- Assists with resource planning efforts for delivery engagements to maximize resource utilization, minimize downtime and ensure timely project deliverables.
- Provide project setup including activities such as creating projects in related systems, verifying all signoffs are obtained and all project contracts are in place.
- Work with Project Management team to ensure that all project data, such as status reports, schedules, milestones, and expenses, are entered on time and accurately. Responsible for tracking project billing, time, and milestones.
- Enforces project process governance by auditing customer deliverables and adherence to process, assuring that all quality gate criteria are met and documented, and that all project documentation is saved to SharePoint.
- Work with Finance on any PS related issues.
- Coordinate special projects as assigned by the executive management.
- Time Audit – Resolve any consultants without rate/notes/time entered.
- Run a report for any un-approved time entries and contact approver by teams chat.
- Audit Completion dates, check with PM for any dates that will come due in the next 2 weeks.
- Check EAC for each project and contact PM if its above 15 %
- Check Project Completion/Due Date and contact PM if its within two weeks to ensure that its accurate
- Check Custom Fields for new projects.
- Check $ 0 bill rate and contact PM if there are any issues.
- Check task tracker to ensure that it is regularly updated for dates and status.
- Send Est Vs Actual report to all PJDs.
- Check project health report to ensure it is updated on a weekly basis.
- Audit timesheets to ensure there are no submissions with $ 0 bill rates (for billable projects)
- Coordinate with timesheet approvers to get all the timesheets approved for past week.
- Prepare weekly compliance report for – 1) PJDs and 2) Consultants.
- 1st of each month – Run the estimated hours report for all existing projects.
- Review quality gate check list with PM each time a project moves to a new phase (validate things such as: all docs in SP, all sign offs completed and saved to SP, all deliverables met etc.)
- Create any ad hoc report as requested by management.
