Job Summary The Purchase Executive plays a critical role in managing the company’s supply chain by acquiring high-quality goods and services at the most competitive prices. This role requires a strategic thinker who can handle end-to-end procurement cycles, build reliable supplier networks, and drive cost-saving initiatives through strong negotiation.
Key Responsibilities1. Procurement Operations
- End-to-End Purchasing: Process Purchase Requisitions (PRs) from various departments and convert them into Purchase Orders (POs) in a timely manner.
- Order Tracking: Monitor and expedite orders to ensure timely delivery of materials, preventing any disruption to daily business operations.
- Inventory Coordination: Collaborate with the inventory/warehouse team to monitor stock levels and determine optimal purchasing needs.
- Quality Assurance: Ensure all procured materials meet the company's quality standards and specifications.
- Documentation & Compliance: Maintain accurate records of purchases, pricing, and other important data within the company’s ERP system. Ensure compliance with internal purchasing policies.
2. Vendor Sourcing & Management
- Strategic Sourcing: Actively research, identify, and onboard new, reliable suppliers and vendors locally and globally (if applicable).
- Vendor Evaluation: Assess potential suppliers based on capacity, quality, pricing, and delivery timelines.
- Relationship Building: Cultivate and maintain strong, long-term relationships with key suppliers to ensure priority service and support.
- Performance Monitoring: Conduct regular vendor performance reviews to track reliability, quality of goods, and adherence to delivery schedules.
- Dispute Resolution: Handle and resolve any grievances, defective goods, or delivery delays directly with suppliers.
3. Negotiation & Cost Optimization
- Contract Negotiation: Lead negotiations on pricing, payment terms, and delivery conditions to secure the most favorable contracts for the company.
- Cost Reduction: Identify opportunities for cost savings without compromising on quality. Implement bulk-buying strategies where appropriate.
- Market Analysis: Stay updated on market trends, raw material pricing, and economic conditions to anticipate price fluctuations and adjust purchasing strategies accordingly.
- Benchmarking: Regularly compare vendor quotes to ensure the company is receiving the best market rate for goods and services.
