ABOUT THE ROLE
Machine Maze is a fast-moving MaaS (Manufacturing as a Service) aggregator that connects international clients with the right manufacturing partners — seamlessly and cost-effectively. We handle end-to-end outsourced production: from RFQ intake and vendor sourcing to production follow-up and quality inspection, ensuring our clients never have to worry about the shop floor.
The Sourcing Specialist is the engine of our operations. This is not a desk job — it is a high-energy, results-driven role that demands speed, sharp commercial instincts, and a deep understanding of manufacturing processes. You will own the entire sourcing lifecycle: receiving RFQs from global clients, identifying the best-fit manufacturing partners, should-costing, negotiating deals, and converting inquiries into winning quotations — fast.
KEY RESPONSIBILITIES
RFQ Management & Quote Turnaround
▸ Own the complete RFQ pipeline — receive, triage, and act on enquiries from international clients with urgency and precision.
▸ Convert RFQs into competitive, accurate quotations within 48–72 hours — speed and accuracy are non-negotiable.
▸ Analyze technical drawings, specifications, and scope documents to identify the right manufacturing process and partner.
▸ Coordinate with concerned stake holders for clarifications and ensure quote packages are complete, compelling, and commercially sound.
Vendor Sourcing & Partner Development
▸ Identify, qualify, and onboard manufacturing partners across processes — machining, fabrication, casting, forging, sheet metal, plastic injection moulding, special process/surface treatment, assembly, and more.
▸ Develop and maintain an active, diversified vendor network capable of handling diverse international order requirements.
▸ Conduct vendor visits, facility audits, and capability assessments on a regular basis — this role requires significant field presence.
▸ Build strong relationships with key manufacturing partners to ensure priority access, competitive pricing, and commitment to quality.

Should Costing & Commercial Negotiations
▸ Perform should-cost analysis for components and assemblies across manufacturing processes — understand where cost is built and where margin lives.
▸ Lead price negotiations with vendors to achieve competitive costs without compromising delivery or quality commitments.
▸ Structure deal terms including lead times, payment, tooling amortization, MOQs, and quality standards.
▸ Continuously benchmark vendor pricing against market rates and drive cost improvements proactively.
Production Follow-Up & Vendor Coordination
▸ Track active orders across the vendor base — ensure on-time delivery and proactive resolution of production delays or bottlenecks.
▸ Coordinate with Machine Maze's quality inspection team to ensure parts meet client specifications before dispatch.
▸ Serve as the escalation point for any vendor performance issues and manage corrective action plans.
Process & Systems Ownership
▸ Maintain a well-organized RFQ tracker, vendor database, and quote repository for full pipeline visibility.
▸ Drive continuous improvement in turnaround time, vendor performance metrics, and cost competitiveness.
▸ Provide management with regular reporting on RFQ conversion rates, vendor performance, and sourcing pipeline health.
WHAT WE ARE LOOKING FOR
Experience & Background
▸ 6-8 years of hands-on experience in sourcing, procurement, or supply chain in a manufacturing or engineering environment.
▸ Demonstrated experience working with international clients or in an export-oriented manufacturing / service environment.
▸ Strong understanding of manufacturing processes — machining, fabrication, casting, sheet metal, plastic injection moulding, special process/surface treatment, and general engineering components.
▸ Proven track record of should costing, vendor negotiations, and closing commercial deals.
▸ Prior experience in sourcing or procurement is strongly preferred.
Skills & Competencies
▸ Exceptional speed and urgency — you thrive on fast turnarounds and do not let RFQs sit.
▸ Sharp commercial instincts — you understand cost structures, margins, and what it takes to win business.
▸ Strong technical reading ability — comfortable interpreting engineering drawings, GD&T, material specs, and process requirements.
▸ Excellent negotiation and relationship management skills — both with vendors and internal stakeholders.
▸ High energy, self-driven, and highly comfortable operating in an unstructured, fast-paced environment.
▸ Effective communicator across cultures — able to manage international client communication with professionalism and clarity.
▸ Proficiency in Excel / Google Sheets for cost tracking and pipeline management; familiarity with ERP or CRM tools is a plus.

First vendor visits completed. 60 Days RFQ turnaround time consistently within 48–72 hours. Initial sourcing team hires underway. 90 Days 10+ new vendor partners qualified and onboarded. Sourcing team operational with clear KPIs set. 6 Months Visible improvement in quote competitiveness and conversion rate. Should-cost framework standardized. 12 Months A self-sufficient sourcing team of 4–8 running a structured, scalable RFQ-to-order process with measurable cost savings delivered to clients.
