Role overview
The Associate, CEO’s Office, will support the CEO in managing day-to-day priorities, ensuring effective time utilization, and enabling smooth execution of key activities.
This role requires strong ownership, professional presence, and the ability to manage dynamic situations. The Associate will act as a coordination point between the CEO and stakeholders, ensuring meeting readiness, disciplined follow-ups, and timely closure of action items. The focus of the role is on calendar management, executive coordination, meeting discipline, and operational support, ensuring that the CEO’s time and priorities are managed effectively.
Key responsibilities
Own and proactively manage the CEO’s calendar, including scheduling, prioritization, and resolving conflicts.
Ensure optimal utilization of the CEO’s time across internal and external engagements.
Prepare and ensure readiness for all meetings (agendas, documents, stakeholder alignment).
Record and circulate accurate Minutes of Meeting (MOM).
Track action items and ensure closure through consistent follow-ups.
Act as the primary coordination point between the CEO and internal/external stakeholders.
Drive timely follow-ups on tasks, commitments, and deliverables.
Handle high-priority and time-sensitive requests, including last-minute changes.
Support executive travel planning and coordination as required.
Assist in handling ad-hoc and occasional personal coordination tasks.
Maintain strict confidentiality of sensitive information.
Ensure disciplined execution of meeting cadence and communication flow with stakeholders.
Qualifications and skills
2–4 years of experience in CEO’s Office / executive assistant / leadership support roles.
Prior experience working closely with senior leadership or CXO-level stakeholders preferred.
Exposure to calendar management, meeting coordination, and follow-up-driven roles is essential.
Strong ownership and accountability mindset.
High professional presence and confidence in dealing with senior stakeholders.
Excellent communication and coordination skills.
Ability to prioritize, multitask, and manage ambiguity.
Strong follow-up discipline and execution focus.
High attention to detail with a structured approach to work.
Ability to handle confidential and sensitive information with discretion.
Proficiency in MS Office (Outlook, Excel, PowerPoint, Word).
Comfortable with calendar management, documentation, and presentations.
