Role Summary
Worldweav Outdoors Private Limited is looking for a proactive, disciplined, and highly organized Admin Executive to oversee day-to-day administrative operations and ensure the smooth functioning of both the Corporate Office and Production Plant. The ideal candidate should possess strong coordination skills, the ability to manage support staff effectively, and a solution-oriented approach to handling administrative responsibilities.
Administration & Office Management
- Ensure the smooth functioning of day-to-day administrative activities for both the Corporate Office and Production Plant.
- Coordinate with all departments to fulfill administrative requirements promptly and efficiently.
- Ensure timely completion of assigned tasks without delays or repeated follow-ups.
- Maintain a safe, clean, and organized workplace environment.
- Handle administrative documentation and maintain accurate records.
Housekeeping & Support Staff Management
- Supervise and guide the housekeeping staff to ensure cleanliness and hygiene standards are maintained.
- Allocate daily work, monitor performance, and ensure timely completion of assigned duties.
- Maintain attendance records and monitor punctuality of all Admin and Housekeeping staff.
- Ensure timely submission of attendance, reports, and task updates.
Facility Management
- Oversee maintenance of office and plant infrastructure.
- Coordinate with electricians, plumbers, carpenters, AC technicians, and other service providers for repair and maintenance work.
- Ensure all maintenance issues are resolved within the committed timelines.
- Conduct periodic inspections to identify maintenance requirements before they become critical.
AMC & Utility Management
- Maintain and monitor all Annual Maintenance Contracts (AMCs) for office and plant equipment.
- Track AMC renewal dates and ensure timely renewals.
- Verify, maintain, and process utility and maintenance bills, including electricity, water, internet, telephone, housekeeping, security, and other facility-related invoices.
- Coordinate with vendors for quotations, negotiations, and timely service delivery.
Stationery & Pantry Management
- Manage procurement, inventory, and distribution of stationery and pantry supplies for both office and plant.
- Monitor stock levels and ensure uninterrupted availability of essential items.
- Coordinate with vendors and obtain competitive quotations whenever required.
Vendor Coordination
- Liaise with vendors for administrative purchases, maintenance services, and facility requirements.
- Maintain vendor records and ensure timely follow-up for deliveries and service requests.
- Assist in vendor evaluations and cost optimization initiatives.
Asset & Inventory Management
- Maintain records of office assets, furniture, equipment, and consumables.
- Conduct periodic stock verification of administrative inventories.
- Ensure proper utilization and accountability of company resources.
Documentation & Compliance
- Maintain administrative records, bills, contracts, invoices, and service reports.
- Ensure compliance with company administrative policies and procedures.
- Support office events, employee engagement activities, meetings, and visitor management.

Eligibility Criteria
- Minimum 3 years of experience in Administration, Facility Management, or Office Administration.
- Experience in supervising housekeeping and support staff.
- Must be fluent in Hindi and Gujarati (reading, writing, and speaking).
- Basic proficiency in English (reading, writing, and speaking).
Graduate preferred (relevant experience may be considered in lieu of qualification).
Pay: ₹30,000.00 - ₹35,000.00 per month
