Job Summary: We are seeking a dedicated, versatile Apartment Facilities Manager to oversee the full daily operations of our apartment community. This hands-on role combines facilities maintenance, vendor coordination, resident issue resolution, and financial/accounting duties (including budgeting, expense tracking, rent oversight, and basic financial reporting). The ideal candidate is a proactive problem-solver with strong organizational skills, mechanical aptitude, and experience managing both the physical property and its financial health. You will ensure the property remains safe, attractive, well-maintained, and financially sound while delivering excellent resident service.
Key Responsibilities
Facilities & Maintenance (Primary Focus – ~60–70% of role)
- Oversee all building and grounds maintenance, including preventive maintenance, security, plumbing, electrical, elevators, roofing, parking lots, landscaping, fire safety equipment and protocol, housekeeping, swimming pool, club house, gardening, STP, solar system, rain water harvesting and common areas.
- Respond to resident maintenance requests promptly (via work order system), perform minor repairs using internal team when possible (e.g., painting, basic plumbing/electrical, appliance fixes, drywall patching), and coordinate/contract licensed vendors/contractors for major or specialized work.
- Conduct regular property inspections (interior/exterior, units during turnover, safety systems like fire extinguishers, smoke detectors, sprinklers, and emergency lighting) to identify issues early and ensure compliance with local codes, health/safety regulations, and fair housing standards.
- Supervise any on-site maintenance staff, custodians, or seasonal workers; coordinate snow removal, lawn care, trash removal, and pest control services.
- Maintain accurate records of all maintenance activities, warranties, inspections, and vendor contracts.
- Ensure all statutory compliances are met
Accounting & Financial Management (~30–40% of role)
- Assist with or oversee rent collection processes, track payments, handle delinquencies (notices, follow-ups, coordination with eviction processes if needed), and maintain accurate resident ledgers.
- Prepare and monitor the annual operating budget for maintenance, utilities, supplies, contracts, and capital improvements; track expenses against budget and report variances.
- Process invoices, pay vendors/contractors, reconcile accounts payable/receivable, and manage petty cash or on-site banking needs.
- Prepare monthly financial reports (e.g., income/expense summaries, occupancy reports) for ownership.
- Monitor utility consumption, pursue cost-saving measures, and handle utility billing if resident-paid.
- Ensure all statutory compliances are met, tax requirements, and property insurance documentation.
Resident & Administrative Duties
- Serve as the primary on-site point of contact for residents regarding maintenance, concerns, rules enforcement, and emergencies (including after-hours on-call rotation).
- Coordinating move-ins/move-outs of residents.
- Maintain positive resident relations, enforce community policies, and resolve conflicts professionally.
- Manage emergency response protocols and ensure the property is prepared for safety incidents.
