Job Description – Admin & HR Executive
Key Responsibilities
1. Recruitment & Onboarding
- Source and recruit candidates through job portals, referrals, and other recruitment channels.
- Conduct interviews and coordinate the selection process.
- Complete joining formalities, employee onboarding, and induction.
- Maintain employee files, HR records, and confidential documentation.
2. Attendance, Leave & Employee Management
- Monitor employee attendance, leave, punctuality, and workforce availability.
- Maintain accurate attendance and leave records.
- Coordinate staff deployment based on operational and manpower requirements.
- Manage employee schedules during peak admission seasons and events.
- Coordinate probation reviews, employee confirmations, and performance evaluations.
3. Employee Relations & HR Operations
- Address employee queries, grievances, and disciplinary matters.
- Conduct employee engagement activities and team meetings.
- Promote a positive, professional, and disciplined workplace environment.
- Coordinate employee training, induction, and development programmes.
4. Office Administration & Daily Operations
- Handle front office operations, welcome visitors, and manage reception activities.
- Attend and respond to phone calls, emails, WhatsApp enquiries, and student/client queries.
- Maintain office records, files, databases, and administrative documentation.
- Arrange meetings, appointments, and support day-to-day office activities.
- Coordinate with internal departments and external stakeholders for smooth operations.
- Provide administrative support to the Managing Director and assist with routine operational tasks.
- Coordinate with vendors for office requirements, maintenance, housekeeping, and service-related activities.
- Coordinate with architects, interior designers, contractors, and service providers whenever required.
- Monitor office inventory and coordinate timely procurement of office supplies and stationery.
- Manage seating arrangements, employee ID cards, assets, and other workplace requirements.
- Assist in preparing reports, quotations, invoices, letters, and other official documents.
- Ensure proper organisation and maintenance of office records and documentation.
5. Admission & Operational Support
- Arrange, verify, and organise documents required for student admission processes prior to submission.
- Coordinate manpower requirements during NEET counselling and admission periods.
- Monitor employee schedules and workforce availability during peak seasons.
- Coordinate with Counselling, Admissions, Marketing, and Operations teams for manpower planning.
- Ensure uninterrupted administrative and workforce support during peak admission seasons.
6. Exit Management & HR Reporting
- Manage employee resignations, notice periods, and exit formalities.
- Conduct exit interviews and complete exit documentation.
- Coordinate employee asset recovery and handover during separation.
- Prepare HR reports, attendance reports, recruitment MIS, and other management reports.
- Maintain HR policies, confidential documents, and statutory HR records.
- Support HR audits and management reporting.
Pay: ₹18,000.00 - ₹23,000.00 per month
