Responsibilities:
1. Office Administration:
· Manage daily office operations and administrative activities.
· Maintain office records, files, and documentation.
· Ensure office supplies and stationery are adequately stocked.
· Prepare administrative reports and MIS reports.
· Maintain contracts, agreements, and important records.
· Coordinate maintenance and housekeeping activities.
· Assist employees with administrative requirements.
· Coordinate ID cards, access cards, and onboarding logistics.
· Handle incoming and outgoing couriers.
· Manage office correspondence and mail distribution.
· Coordinate with service providers and external agencies.
2. Vendor Management
· Identify and coordinate with vendors for office requirements.
· Obtain quotations and negotiate pricing.
· Process purchase orders and track deliveries.
3. Travel & Accommodation Management
· Arrange travel bookings, including flights, hotels, and transportation.
· Coordinate visa and travel-related documentation when required.
4. Facility Management
· Monitor office infrastructure and facilities.
· Coordinate repairs and preventive maintenance.
· Ensure workplace safety and compliance with company policies.
5. Cab Management:
· Arrange cabs for employee pick-up and drop-off requirements.
· Coordinate with cab vendors and transportation service providers.
· Maintain a database of approved cab vendors and drivers.
· Ensure timely booking and allocation of vehicles.
· Monitor cab utilization and optimize transportation costs.
· Resolve transportation-related issues and employee concerns.
Skills Required
- Strong organizational and multitasking abilities.
- Good communication and interpersonal skills.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Vendor and facility management experience.
- Attention to detail and problem-solving skills.
- Time management and coordination skills.
Education : Any Degree
Experience:
- 2–5 years of experience in Administration, Transport Operations, Facility Management, and Vendor Management.
- Candidates should be willing to work in rotational shifts, including night shifts, based on business requirements.
