Role Purpose
The Center Manager will be responsible for the smooth day-to-day functioning of the DAMOH’S Churchgate clinic.
The role will own clinic operations, staff coordination, patient experience, treatment scheduling, documentation, inventory controls and operational reporting.
The Center Manager will ensure that every patient experiences the same professional, organised and reassuring DAMOH’S journey, while reducing the founders’ involvement in routine clinic management.
This is an operations and people-management role. It is not a telecalling or new-lead-generation role.
Key Responsibilities
Sales and Revenue Ownership
- Own the conversion of attended consultations into treatment bookings and revenue
- Understand the doctor-recommended treatment programme before discussing it with the patient
- Explain the recommended programme, process, duration, scheduling and commercial terms clearly
- Prepare and share accurate quotations through Zoho Books or the approved system
- Confidently ask the patient to proceed with the recommended programme
- Handle routine questions and non-clinical commercial objections
- Present approved payment options and policies
- Coordinate payment collection and treatment confirmation
- Follow up on all undecided consultations and pending quotations
- Maintain a clear status for every quotation until it is closed or formally marked lost
- Escalate complex objections, exceptional pricing requests and high-value opportunities to the Founder
- Work toward the clinic’s monthly revenue and consultation-conversion targets
- Identify appropriate opportunities for maintenance programmes, additional doctor-recommended treatments, DAMOH’S Preferred and patient referrals
- Ensure sales conversations remain consultative, ethical and consistent with DAMOH’S positioning
- Analyse lost consultations and recurring objections and recommend improvements
The Center Manager may sell only treatments and programmes recommended or approved by the doctor. The manager may not diagnose, prescribe, change clinical recommendations, promise outcomes or independently offer discounts.
Clinic Operations
- Take complete ownership of the clinic’s daily functioning
- Ensure the centre opens and closes according to defined checklists
- Prepare and manage the daily appointment and treatment schedule
- Allocate treatment rooms, therapists and clinic resources efficiently
- Ensure treatment rooms are clean, prepared and ready before every appointment
- Monitor patient waiting times and prevent avoidable delays
- Identify operational bottlenecks and resolve them proactively
- Escalate important clinical, commercial or facility-related matters to the appropriate founder
- Ensure the clinic can function smoothly without continuous founder intervention
Team Coordination and Discipline
- Coordinate therapists, front desk, housekeeping and other support staff
- Prepare staff rosters and manage weekly offs, leave and shift coverage
- Monitor attendance, punctuality, grooming and workplace discipline
- Conduct a short daily team briefing before clinic operations begin
- Allocate daily responsibilities and follow up on their completion
- Ensure employees follow approved SOPs and checklists
- Identify training requirements and coordinate staff training
- Address routine staff concerns and escalate sensitive matters appropriately
- Build a culture of accountability, teamwork and patient-first service
Patient Experience
- Ensure patients are welcomed and attended to professionally
- Coordinate the patient’s movement between reception, consultation and treatment
- Ensure patients receive clear non-clinical information about appointments, preparation and next steps
- Monitor the quality and consistency of all patient-facing interactions
- Handle non-clinical complaints calmly and professionally
- Coordinate service recovery when the patient experience falls below expectations
- Maintain patient privacy, dignity and confidentiality
- Ensure the clinic environment reflects the DAMOH’S brand and premium positioning
- Support the collection of patient feedback and Google reviews according to the defined process
Consultation and Treatment Coordination
- Take operational ownership once a consultation has been confirmed and handed over by the lead-management team
- Ensure the doctor has the necessary patient information before every consultation
- Ensure consultation rooms, forms and relevant records are ready
- Coordinate the preparation and timely sharing of treatment recommendations and quotations
- Ensure treatment bookings are correctly scheduled after confirmation
- Coordinate package scheduling and treatment-plan completion
- Monitor upcoming reviews, package balances and pending treatment sessions
- Ensure follow-up and review appointments are scheduled according to the doctor’s instructions
- Escalate patient concerns, scheduling issues or treatment interruptions promptly
The Center Manager will not provide medical advice, recommend treatments or independently offer discounts.
Documentation and SOP Compliance
- Ensure consultation forms, consent forms and treatment records are completed correctly
- Monitor completion of treatment checklists for every session
- Ensure photographs and other required clinical documentation are completed as per protocol
- Maintain organised physical and digital patient records
- Ensure all operational SOPs and checklists are followed
- Conduct regular operational audits and report deviations
- Support the documentation and improvement of recurring clinic processes
- Ensure no critical operating process depends solely on memory or verbal instructions
Clinical quality and medical protocol decisions will remain under the Clinical Director.
Inventory, Assets and Facility Management
- Maintain accurate records of clinic inventory and consumables
- Monitor minimum stock levels and raise replenishment requirements in advance
- Conduct periodic physical stock verification
- Monitor consumption, wastage, expiry dates and stock discrepancies
- Maintain the clinic’s asset and equipment register
- Track machine servicing and preventive maintenance schedules
- Report breakdowns and coordinate approved repairs
- Ensure equipment issues do not unnecessarily disrupt patient appointments
- Coordinate housekeeping, laundry, pest control and routine facility requirements
- Coordinate with approved vendors for routine operational matters
Reporting and Management Controls
- Maintain the daily clinic operations dashboard
- Submit the opening operations update within the defined reporting time
- Submit an accurate closing report at the end of the day
- Report staff attendance, patient schedule, treatment completion and operational issues
- Track and report patient waiting times, cancellations and rescheduling
- Report inventory shortages, machine downtime and unresolved facility issues
- Highlight exceptions that require founder or clinical intervention
- Participate in weekly operating reviews
- Present recurring problems with proposed solutions, not merely report them
Candidate Profile
- Graduate in healthcare administration, hospitality, business management or a related discipline
- Approximately 4-7 years of relevant professional experience
- At least 2 years of experience managing a clinic, aesthetic centre, dermatology centre, premium salon, wellness centre, hospital front office or comparable service business
- Demonstrated experience coordinating both employees and customers or patients
- Strong operational planning and problem-solving ability
- Comfortable working with schedules, checklists, dashboards and performance targets
- Working knowledge of Google Sheets, appointment-management systems and basic business software
- Strong spoken and written English and Hindi
- Professional appearance and confident communication
- Calm under pressure and capable of handling difficult conversations
- Able to enforce discipline without creating unnecessary conflict
- Comfortable working according to the clinic roster, including Saturdays
- Preferably residing within a manageable travelling distance of Churchgate
Employment Conditions
- Full-time position based at DAMOH’S, Churchgate
- Working days and timings will be governed by the DAMOH’S employment policy and clinic roster
- The position includes a 10-day critical assessment period
- The standard probation period is three months
- Performance will be reviewed through defined operational KPIs
- Continued employment will depend on capability, conduct, ownership and performance
- Employment terms, notice period and benefits will be governed by the appointment letter and company policy
Pay: ₹50,000.00 - ₹60,000.00 per month
