HyreSpot HR Services Pvt. Ltd. is looking for an experienced and energetic Assistant HR Manager – Talent Acquisition & HR Operations to support the HR Manager in managing recruitment, HR operations, employee attendance, payroll coordination, and HR team activities. The role has a strong focus on Talent Acquisition and recruitment team management, along with responsibility for day-to-day HR operations. The candidate will be expected to take ownership of hiring requirements, guide recruiters, build candidate pipelines, monitor recruitment performance, and ensure smooth employee lifecycle management. The ideal candidate should be a hands-on HR professional with strong recruitment experience, excellent communication skills, good team-handling ability, and practical knowledge of attendance and payroll processes. Key Responsibilities 1. Talent Acquisition & Recruitment Take ownership of end-to-end recruitment for assigned positions. Understand manpower requirements and coordinate with department heads and hiring managers. Develop suitable sourcing strategies based on job requirements and hiring timelines. Source candidates through job portals, social media, employee referrals, professional networks, databases, and other channels. Screen resumes and conduct initial candidate assessments. Conduct preliminary HR interviews and shortlist suitable candidates. Coordinate technical, managerial, and final-round interviews. Maintain regular communication and follow-up with candidates. Manage the candidate journey from sourcing through joining. Maintain an updated candidate pipeline for current and future requirements. Handle multiple vacancies simultaneously and prioritize urgent requirements. Support bulk recruitment and volume hiring whenever required. Track offer acceptance and joining commitments. Improve candidate engagement and reduce offer dropouts. Maintain a talent pool for recurring and critical positions. Build relationships with candidates and recruitment sources for future hiring needs. Explore new sourcing channels to improve recruitment efficiency. Monitor recruitment turnaround time and vacancy closure. Prepare and share regular recruitment status reports with the HR Manager. 2. Recruitment Team Management Assist the HR Manager in managing the Talent Acquisition team. Allocate vacancies and recruitment responsibilities among team members. Set daily, weekly, and monthly recruitment targets. Monitor individual recruiter performance and productivity. Track sourcing, screening, interviews, selections, offers, and joining numbers. Conduct regular recruitment team reviews. Guide recruiters on sourcing methods, screening, interview coordination, and candidate follow-up. Identify performance gaps and provide coaching to team members. Motivate recruiters to achieve hiring targets. Ensure recruitment activities are completed within agreed timelines. Support the HR Manager in developing recruitment processes and performance standards. 3. HR Operations Assist the HR Manager in managing daily HR activities. Maintain employee records, personnel files, and HR databases. Coordinate employee onboarding and joining formalities. Manage confirmation, transfers, promotions, and exit processes. Prepare appointment letters, confirmation letters, experience letters, relieving letters, salary revision letters, and other HR documents. Ensure employee documentation is complete and updated. Assist in implementing HR policies and procedures. Handle routine employee HR requests and coordinate timely resolution. Maintain confidentiality of employee and company information. 4. Attendance & Leave Management Monitor daily attendance across departments. Review late marks, absenteeism, permissions, overtime, shifts, and working hours. Maintain accurate employee leave records. Coordinate attendance corrections with employees and reporting managers. Prepare monthly attendance data for payroll processing. Monitor attendance irregularities and repeated absenteeism. Coordinate with department heads regarding attendance-related concerns. Ensure employees follow company attendance and leave policies. 5. Payroll Coordination Coordinate monthly payroll inputs and ensure accuracy. Verify attendance and leave information before payroll processing. Prepare payroll inputs relating to: Loss of Pay Overtime Incentives Deductions Salary revisions New joiners Resignations Full & Final Settlement Coordinate with Finance/Accounts or payroll partners for salary processing. Review payroll data and identify discrepancies. Coordinate corrections before payroll finalization. Respond to employee queries relating to salary, attendance, deductions, and leave. Maintain strict confidentiality of employee compensation information. 6. Employee Relations Act as a point of contact for routine employee HR queries. Assist employees with concerns relating to attendance, leave, payroll, policies, and documentation. Maintain professional communication with employees at all levels. Support the HR Manager in resolving employee concerns. Assist in maintaining a positive and professional work environment. Ensure HR policies are communicated and implemented consistently. 7. HR MIS & Reporting Maintain and update accurate HR reports covering: Employee headcount Open positions Candidate pipeline Candidates sourced Interviews scheduled Candidates selected Offers released Candidates joined Recruitment turnaround time Attendance Leave Absenteeism Overtime Payroll inputs New joiners Employee exits Recruiter performance Prepare daily, weekly, and monthly HR and recruitment reports. Maintain accurate employee and candidate databases. Provide recruitment and HR performance updates to the HR Manager. Identify recruitment or operational gaps and recommend corrective actions. 8. HR Compliance Support Maintain employee records required for statutory and internal compliance. Assist with payroll-related compliance activities. Support documentation relating to PF, ESI, Professional Tax, TDS, and other applicable requirements. Coordinate with Finance, consultants, payroll providers, and external agencies when required. Maintain records required for audits and compliance reviews. Required Skills 3–6 years of experience in Talent Acquisition, Recruitment, HR Operations, or a related HR role. Strong hands-on experience in end-to-end recruitment. Experience managing multiple vacancies and hiring priorities. Previous experience handling or mentoring recruitment/HR team members. Good knowledge of sourcing through job portals, social media, referrals, and professional networks. Strong candidate screening and interviewing skills. Good understanding of attendance and leave management. Practical knowledge of payroll coordination. Good knowledge of MS Excel and HR MIS. Familiarity with HRMS, HRIS, attendance, and payroll systems. Excellent communication and interpersonal skills. Strong follow-up and negotiation abilities. Good analytical and problem-solving skills. Strong attention to detail. Ability to maintain confidentiality. Ability to work with deadlines and recruitment targets. Educational Qualification Bachelor’s degree in Human Resources, Business Administration, Commerce, or a related discipline. MBA/PGDM in Human Resources will be an added advantage.
