Job Title: Receptionist
Job Summary:
A receptionist is responsible for greeting visitors, answering phone calls, managing appointments, and providing administrative support to ensure the smooth operation of an organization.
Key Responsibilities:
- Welcome and assist visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Schedule and manage appointments and meetings.
- Maintain visitor logs and issue visitor passes when required.
- Handle incoming and outgoing mail, emails, and deliveries.
- Keep the reception area clean, organized, and presentable.
- Provide information and assistance to customers, clients, and staff.
- Perform basic administrative tasks such as filing, data entry, and recordkeeping.
- Coordinate with other departments as needed.
- Manage office supplies and place orders when necessary.
Required Skills and Qualifications:
- High school diploma or equivalent.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office equipment.
- Good organizational and multitasking abilities.
- Professional appearance and positive attitude.
- Ability to work independently and as part of a team.
Working Conditions:
- Typically works in an office, hotel, hospital, school, or business environment.
- May be required to work flexible hours depending on the organization.
Reporting To: Office Manager, Administrative Manager, or Supervisor.
