We are seeking a motivated and experienced Student Support Officer to join our Student Services team. This role is ideal for an organised, customer-focused professional with experience in education administration, student services, and fee collections who is passionate about supporting students while ensuring compliance with Australian vocational education standards.
About the Role
The Student Support Officer plays a key role in providing high-quality administrative and student support services to prospective and enrolled students throughout their learning journey. This position is responsible for supporting student success, monitoring academic progress, maintaining accurate records, collecting outstanding student fees, and ensuring compliance with the Standards for Registered Training Organisations (RTOs), CRICOS requirements (where applicable), and internal policies and procedures.
Job Responsibilities
- Manage inbound and outbound calls, emails, SMS, and student enquiries in a professional and timely manner.
- Follow up with students regarding outstanding fees, attendance, assessments, visa-related communications, and general enquiries.
- Collect outstanding student fees on a daily basis and process/update student payment records accurately.
- Facilitate collection activities, including payment reminders, follow-up communications, and Letters of Demand where required.
- Provide accurate information regarding courses, timetables, assessments, fees, policies, and procedures.
- Assist students with academic, administrative, and course-related enquiries.
- Maintain professional communication with students from diverse cultural backgrounds and provide quality student support.
- Monitor student attendance, engagement, and academic progression.
- Follow up with students regarding low attendance, incomplete assessments, and unsatisfactory course progress.
- Prepare and issue student communications, including reminders, intervention notices, and progress-related correspondence.
- Develop and coordinate intervention strategies in consultation with trainers and relevant departments.
- Maintain accurate student files, confidential case notes, communication records, and supporting documentation.
- Record assessment outcomes and update student information in the Student Management System (SMS).
- Support student administration processes, including enrolments, course variations, deferrals, withdrawals, and Credit Transfers (CT).
- Perform other administrative duties as required by management.
Requirements
To be successful in this role, you will have:
- Excellent verbal and written communication skills in English.
- Strong customer service skills, organisational and time management skills.
- Ability to communicate professionally with students from diverse cultural backgrounds.
- Ability to manage multiple tasks, prioritise workload, and meet deadlines.
- Strong problem-solving and conflict-resolution skills.
- High level of accuracy and attention to detail.
- Ability to work independently and collaboratively within a remote team.
- Experience using Student Management Systems (SMS) & Learning Management Systems (LMS).
- Intermediate Microsoft Office skills, including Microsoft Word, Excel, Outlook, and Microsoft Teams.
- Knowledge of the Australian Vocational Education and Training (VET) sector and RTO compliance requirements will be highly regarded.
