Job Summary
We are seeking a highly organized, proactive, and professional Executive Assistant to the GM / Owner to provide comprehensive executive and administrative support. The ideal candidate will possess exceptional communication, coordination, and organizational skills while maintaining the highest standards of confidentiality and professionalism.
This role requires someone who can effectively manage multiple priorities, coordinate with various stakeholders, and ensure smooth execution of day-to-day executive operations in a fast-paced business environment.
Key Responsibilities
- Manage the GM/Owner's calendar, appointments, meetings, and travel arrangements.
- Prepare meeting agendas, record Minutes of Meetings (MOM), and follow up on action items.
- Draft, review, and manage emails, letters, reports, presentations, and business correspondence.
- Coordinate with internal departments and external stakeholders to ensure smooth communication and execution of tasks.
- Track project timelines, management directives, and pending assignments to ensure timely completion.
- Organize meetings, business reviews, and maintain accurate documentation and records.
- Handle confidential information, business documents, and sensitive communications with complete discretion.
- Prepare MIS reports, management dashboards, presentations, and analytical reports.
- Coordinate with vendors, consultants, government authorities, and business associates whenever required.
- Assist in planning, organizing, and executing special projects and strategic business initiatives.
- Maintain an efficient filing system for both physical and digital documents.
- Perform additional executive and administrative responsibilities as assigned by the GM/Owner.
Candidate RequirementsEducation
- Bachelor's Degree in Business Administration, Management, Commerce, or a related field.
Experience
- 2–5 years of experience as an Executive Assistant, Executive Secretary, Personal Assistant, or a similar executive support role.
Skills & Competencies
- Excellent verbal and written communication skills in English.
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Exceptional organizational, planning, and multitasking abilities.
- Strong time-management and follow-up skills.
- Ability to work independently with minimal supervision.
- High level of integrity, professionalism, and confidentiality.
- Excellent attention to detail and problem-solving skills.
- Ability to coordinate effectively across departments and with senior management.
