Position: Private Secretary to the Managing Director

Reporting To: Managing Director
Key Responsibilities:
Provide high-level administrative and secretarial support to the Managing Director.
Manage the MD's calendar, appointments, meetings, travel schedules, and daily priorities.
Prepare, draft, proofread, and manage official correspondence, reports, presentations, meeting agendas, and business documents.
Coordinate with internal departments, clients, government authorities, vendors, and business associates on behalf of the Managing Director.
Organize board meetings, management meetings, conferences, and prepare minutes of meetings (MoM).
Screen phone calls, emails, and visitors, ensuring timely communication and follow-up.
Maintain confidential files, records, agreements, and sensitive business information with the highest level of integrity.
Monitor important deadlines and ensure timely execution of assignments.
Assist in preparing business proposals, presentations, contracts, and corporate documents.
Arrange domestic and international travel, accommodation, visas, and travel itineraries.
Coordinate special projects and strategic assignments as directed by the Managing Director.
Maintain effective communication with senior management and external stakeholders.
Perform office administration and ensure smooth day-to-day executive operations.
Handle confidential correspondence and maintain complete discretion in all official matters.
Undertake any additional responsibilities assigned by the Managing Director.
Required Qualifications
Bachelor's Degree in Business Administration, Commerce, Management, English, or a related discipline. MBA will be an added advantage.
Professional certification in Executive Assistance or Secretarial Practice is desirable.
Experience
Minimum 5–10 years of experience as a Private Secretary, Executive Assistant, or Personal Assistant to CXO/Managing Director/Chairman.
Experience in the Pharmaceutical, Biotechnology, Healthcare, Manufacturing, or Corporate sector will be preferred.
