Senior Executive – Office Administration (Facilities & Workplace Operations)

About the Role
We are looking for a proactive and highly organized Senior Executive – Office Administration to manage day-to-day office operations, facilities management, workplace experience, and vendor coordination across our Bengaluru and Hyderabad offices. This is an individual contributor role suited for someone who thrives in a fast-paced startup environment and enjoys taking complete ownership of office administration and facilities.
Key Responsibilities
- Manage daily office administration and ensure smooth facility operations.
- Supervise housekeeping, security, reception, cafeteria, and maintenance teams.
- Coordinate preventive and corrective maintenance of office infrastructure.
- Monitor HVAC, electrical, plumbing, utilities, and building systems.
- Handle seating plans, workspace allocation, office expansions, and relocations.
- Ensure compliance with fire safety, health, statutory, and building regulations.
- Coordinate with vendors, building management, and service providers while maintaining SLA adherence.
- Support IT and non-IT procurement activities including rental laptops, office supplies, merchandise, and event requirements.
- Partner with HR for employee onboarding, offboarding, workplace experience, travel arrangements, and engagement activities.
- Prepare MIS reports, facility dashboards, CAPEX/OPEX tracking, SOPs, and compliance documentation.
- Drive workplace improvements, operational efficiency, and employee satisfaction.

Eligibility
- 4+ years of experience in Office Administration or Facilities Management, preferably in startups or high-growth organizations.
- Strong knowledge of facility operations, building maintenance, safety compliance, and vendor management.
- Experience working with cross-functional teams including HR, IT, Finance, and Operations.
- High ownership, excellent organizational skills, and ability to work independently.
- Proficiency in English, Hindi, and Kannada is mandatory.
- Experience dealing with statutory authorities and regulatory documentation will be an added advantage.

Pay: Up to ₹600,000.00 per year
