We are looking for a hands-on and responsible Facility Manager to independently manage the day-to-day facility and administration operations of our residential site in Dahisar.
Role Overview
The Facility Manager will be responsible for the complete administration and facility management of the Dahisar residential site.
The role includes managing housekeeping, security, common-area maintenance, MEP services, vendors, resident complaints, manpower, statutory compliance, safety requirements, budgets and site-level reporting.
This is an on-ground ownership role. The Facility Manager must remain actively present across the site, identify operational issues before they escalate and ensure that every assigned task is completed, documented and closed within the defined timeline.
The position is focused on residential society and common-area management and does not involve construction or project execution activities.
Key Responsibilities1. Site Administration and Facility Upkeep
- Manage the complete day-to-day administration and facility operations of the Dahisar site.
- Ensure proper upkeep of common areas, utilities, landscaping, housekeeping, security and other site facilities.
- Conduct daily site rounds to identify maintenance, cleanliness, service or safety-related gaps.
- Ensure that all identified issues are recorded, assigned and resolved without unnecessary delay.
- Maintain the site in a clean, safe, functional and audit-ready condition at all times.
2. Task Management and Timely Closure
- Ensure that all tasks assigned through D2, FMS, ERP or directly by the reporting manager are completed within the defined timeline.
- Maintain an updated tracker of open, in-progress, delayed and completed tasks.
- Proactively highlight tasks that may get delayed, along with the reason and corrective action plan.
- Ensure that no operational task remains unattended or unreported.
- Provide timely closure updates with supporting documents wherever required.
3. Vendor and Contractor Management
- Coordinate with housekeeping, security, MEP, horticulture, pest control, waste management and other service vendors.
- Monitor vendor attendance, manpower deployment, service quality and adherence to agreed SLAs.
- Conduct regular reviews of vendor performance and immediately escalate service deficiencies.
- Verify vendor service records, attendance sheets, work completion reports and invoices.
- Ensure vendor bills are forwarded for approval only after confirming that the agreed services have been delivered.
- Coordinate with AMC partners for preventive maintenance, breakdown calls and service visits.
4. Housekeeping and Security Supervision
- Supervise housekeeping and security staff deployed at the site.
- Monitor attendance, discipline, grooming, behaviour and duty allocation.
- Ensure adequate manpower coverage across all shifts and critical areas.
- Address absenteeism, manpower shortages and disciplinary concerns promptly.
- Conduct regular briefings with the housekeeping and security teams.
- Ensure that staff members follow the approved SOPs and site protocols.
5. MEP and Preventive Maintenance
- Coordinate the upkeep of electrical, plumbing, fire-fighting, water supply, lifts, pumps, generators and other essential services.
- Ensure that preventive maintenance schedules are followed by vendors and technical teams.
- Maintain records of equipment servicing, breakdowns and repair work.
- Escalate critical equipment failures or recurring maintenance issues immediately.
- Ensure minimum disruption to residents during maintenance or repair work.
6. Resident and Occupant Support
- Act as the first point of contact for resident or occupant complaints and service requests.
- Maintain a proper complaint register with complaint date, responsible person, expected closure date and final resolution.
- Ensure that complaints are acknowledged and resolved within the defined turnaround time.
- Escalate unresolved, sensitive or recurring complaints to the Senior Manager – Facility Management.
- Communicate planned maintenance activities, water shutdowns, power interruptions or other disruptions to residents in advance.
- Handle resident concerns professionally, calmly and respectfully.
7. Budget and Cost Management
- Operate within the approved monthly administration and maintenance budget.
- Maintain accurate records of site-level expenses and vendor payments.
- Track actual expenditure against the approved budget.
- Highlight expected budget overruns before the expenditure is incurred.
- Verify invoices and supporting documents before submitting them for approval.
- Identify opportunities for cost control without compromising safety, service quality or resident experience.
- Support the preparation of monthly budget utilisation and expense reports.
8. Statutory Compliance and Safety
- Track statutory licences, certifications, renewals and compliance requirements applicable to the site.
- Ensure fire-safety systems, emergency equipment and required documentation remain updated and functional.
- Support periodic safety inspections, emergency drills and compliance audits.
- Maintain records of safety checks, audit findings and corrective actions.
- Ensure all corrective actions arising from audits are completed within the defined timeline.
- Immediately report any safety, statutory or compliance risk to the reporting manager.
- Ensure that emergency response procedures are understood by site staff and vendors.
9. Documentation and Reporting
- Maintain all facility-related records, checklists, registers, vendor documents, invoices, complaint logs and compliance records.
- Submit regular reports covering site conditions, open issues, complaint status, vendor performance, manpower deployment and expenses.
- Provide accurate and timely updates to the Senior Manager – Facility Management.
- Ensure all site documentation is organised and available for internal or external audits.
- Follow Roswalt Realty’s SOPs for housekeeping, security, vendor management, complaint handling and emergency response.
10. Emergency Management
- Remain reachable and responsive during urgent site-related situations outside standard working hours.
- Coordinate immediate action during emergencies involving security, fire safety, water supply, electrical systems or other essential services.
- Inform the reporting manager and concerned stakeholders without delay.
- Ensure that the incident, action taken and final closure are properly documented.
Key Performance Indicators
The Facility Manager’s performance will be assessed on:
- Timely completion and closure of assigned tasks.
- Cleanliness, maintenance and operational condition of the site.
- Vendor SLA compliance and service quality.
- Resident complaint resolution within the defined turnaround time.
- Availability and discipline of housekeeping and security manpower.
- Adherence to the approved administration and maintenance budget.
- Statutory, fire-safety and site compliance.
- Accuracy and timeliness of site reports.
- Readiness of documents and records for audits.
- Ability to identify and resolve operational issues proactively.
Qualifications and Experience
- Graduate in Facility Management, Business Administration or a related discipline.
- Minimum 3–7 years of experience in facility management, site administration or property management.
- Experience managing residential buildings, housing societies or residential real estate sites will be preferred.
- Working knowledge of housekeeping, security, vendor management and MEP maintenance.
- Experience handling resident complaints and site-level service requests.
- Understanding of statutory compliance, fire safety and emergency procedures.
- Familiarity with ERP, FMS, D2 or similar task-management and workflow systems.
- Basic knowledge of budget tracking, invoice verification and expense reporting.
- Comfortable working six days a week from the Dahisar site.
- Willingness to remain reachable for site emergencies when required.

Ideal Candidate Profile
The ideal candidate should be hands-on, disciplined and accountable. The person must be comfortable working on-site, conducting regular rounds, managing vendors and manpower, resolving resident complaints and ensuring timely task closure.
The candidate should not wait for repeated reminders or follow-ups. They must proactively identify issues, take corrective action and keep the reporting manager informed through accurate and timely updates.
Pay: ₹40,000.00 - ₹50,000.00 per month
