Job Summary
The Event Coordinator is responsible for planning, organizing, and executing events that enhance the brand experience and ensure seamless event operations. This role involves coordinating with internal teams, vendors, venues, and stakeholders to deliver high-quality events while maintaining budgets, timelines, and brand standards.
Key ResponsibilitiesEvent Planning & Coordination
- Plan, organize, and execute company events, exhibitions, roadshows, product launches, customer engagement activities, and internal events.
- Prepare event timelines, checklists, and execution plans.
- Coordinate venue bookings, logistics, transportation, accommodation, and event schedules.
- Ensure all event requirements are completed before deadlines.
Vendor Management
- Source and coordinate with event vendors, decorators, photographers, printers, caterers, and logistics partners.
- Obtain quotations, negotiate pricing, and manage vendor agreements.
- Ensure vendors deliver services as per agreed quality and timelines.
Budget Management
- Prepare event budgets and cost estimates.
- Monitor event expenses and ensure adherence to approved budgets.
- Maintain records of invoices, purchase orders, and vendor payments.
Event Execution
- Oversee event setup, registrations, guest management, and on-site coordination.
- Ensure smooth execution of events and resolve operational issues promptly.
- Coordinate with internal teams to ensure seamless event delivery.
Brand & Marketing Support
- Ensure all event materials align with company branding guidelines.
- Coordinate with the marketing team for promotional materials, digital content, and social media coverage.
- Assist in creating event reports and post-event analysis.
Administrative Responsibilities
- Maintain event calendars and documentation.
- Prepare event reports, feedback summaries, and performance metrics.
- Track inventory of event materials and promotional merchandise.
Qualifications
- Bachelor's degree in Event Management, Marketing, Business Administration, Hospitality, or a related field.
- 2–5 years of experience in event coordination or event management.
- Experience in retail, luxury, jewellery, lifestyle, or hospitality industries is preferred.

Pay: ₹9,627.60 - ₹36,880.29 per month
