Manager Contracting – MICE

Role Summary
The Contracting Manager is responsible for sourcing, negotiating, and finalizing contracts with hotels,
venues, transport vendors, DMCs (Destination Management Companies), and other third-party
suppliers for MICE programs — ensuring the best commercial terms, service quality, and contractual
protection for the company across domestic and international destinations.
Key Responsibilities
- Identify and evaluate hotels, resorts, convention centres, and venues suitable for MICE groups
based on capacity, location, and budget requirements.
- Negotiate room rates, meeting space costs, F&B packages, cancellation terms, and value-adds
(upgrades, early check-in, complimentary rooms) with suppliers.
- Draft, review, and finalize contracts/LOAs (Letters of Agreement) with hotels, transport vendors,
ground handlers, and DMCs, ensuring terms align with company policy and risk exposure.
- Maintain and continuously update a supplier database with rates, inclusions, blackout dates, and
contact details for key destinations.
- Coordinate with the Operations/Sales team to understand group requirements (pax count, dates,
budget, inclusions) and translate them into supplier RFPs.
- Negotiate cancellation, attrition, and force majeure clauses to minimize financial risk in case of
group size changes or cancellations.
- Track and manage deposit payments, advance schedules, and supplier payment terms in
coordination with Finance.
- Build and maintain strong relationships with hotel chains, DMCs, and venue partners for
preferential rates and priority allocation.
- Monitor market rates and competitor offerings to ensure the company remains commercially
competitive.
- Resolve disputes or service issues with suppliers during pre-event, on-ground, or post-event
stages.
- Ensure all contracts comply with applicable legal, tax (GST/TCS), and regulatory requirements.
Required Skills & Competencies
- Strong negotiation and commercial acumen.
- Working knowledge of hotel/venue contracting terms (rate parity, attrition, cut-off dates,
cancellation bands).
- Excellent vendor relationship management skills.
- Attention to detail in reviewing contractual clauses (liability, force majeure, payment terms).
- Proficiency in MS Excel/Word; familiarity with CRM or contracting software is a plus.
- Good communication and cross-functional coordination skills (Sales, Operations, Finance).
Qualifications & Experience
- Graduate/Postgraduate in Travel & Tourism, Hospitality Management, or Business Administration.
- 2-4 years of experience in hotel/vendor contracting, preferably in MICE, corporate travel, or DMC
operations.
- Prior experience working with international destinations is preferred for global MICE contracting
roles.
- Existing network of hotel and DMC contacts is a strong advantage.
