Role Overview
The Inventory & Dispatch Executive will be responsible for managing inventory, processing customer orders, ensuring timely dispatch, maintaining stock accuracy, and supporting smooth day-to-day warehouse operations. This role is critical in delivering a seamless customer experience.
Key ResponsibilitiesInventory Management
- Receive, inspect, and record incoming stock from manufacturers.
- Perform quality checks on all incoming products.
- Organise inventory for efficient storage and retrieval.
- Maintain accurate stock records in the inventory management system.
- Conduct daily, weekly, and monthly stock counts.
- Investigate and resolve inventory discrepancies.
- Monitor stock levels and report low inventory to the management team.
Order Processing & Dispatch
- Process customer orders received through Shopify, marketplaces, and other sales channels.
- Pick, pack, and prepare orders according to Exude's packaging standards.
- Generate shipping labels and invoices.
- Coordinate with courier partners for timely pickups.
- Ensure all orders are dispatched within the company's service level agreements (SLAs).
- Track shipments and resolve delivery issues when required.
Returns & Exchanges
- Receive and inspect returned products.
- Process returns, exchanges, and refunds according to company policies.
- Update inventory after returned products are approved.
- Maintain records of return reasons and report trends.
Warehouse Operations
- Keep the warehouse clean, organised, and efficient.
- Ensure products are stored safely to prevent damage.
- Maintain packing materials and report replenishment requirements.
- Follow inventory handling and safety procedures.
Reporting
- Prepare daily dispatch reports.
- Maintain inventory movement records.
- Report damaged, missing, or defective products.
- Share weekly inventory and dispatch performance updates.
Skills & QualificationsRequired
- 1–3 years of experience in inventory, warehouse, logistics, or e-commerce operations.
- Strong organisational and time-management skills.
- High attention to detail and accuracy.
- Basic knowledge of Microsoft Excel or Google Sheets.
- Comfortable using inventory or order management software.
- Good communication skills.
- Ability to work independently and as part of a team.
Preferred
- Experience with Shopify.
- Experience using Shiprocket or similar courier platforms.
- Experience in fashion or apparel inventory management.
Key Performance Indicators (KPIs)
- Inventory accuracy of 99% or higher.
- Order dispatch within 24 hours of order confirmation.
- Order accuracy above 99%.
- Minimal inventory discrepancies.
- Efficient processing of returns and exchanges.
- Low rate of dispatch-related customer complaints.
