Key Responsibilities
- Receive and review purchase requisitions from vessels, Technical Department, Operations Department, and other internal departments.
- Obtain quotations from approved vendors and suppliers and prepare comparative statements for evaluation.
- Negotiate prices, delivery schedules, payment terms, and commercial conditions to achieve cost-effective procurement.
- Prepare Purchase Orders (POs) manually and ensure timely issuance to suppliers.
- Follow up with vendors to ensure timely delivery of spare parts, stores, consumables, and technical equipment.
- Coordinate with vessel Masters, Chief Engineers, Technical Superintendents, and Operations team regarding urgent procurement requirements.
- Procure marine machinery spares, deck equipment, engine stores, safety equipment, lubricants, and general vessel consumables.
- Arrange procurement for dry dockings, annual surveys, repairs, mobilizations, and emergency breakdown requirements.
- Maintain manual purchase records, purchase files, quotations, supplier correspondence, and purchase order registers.
- Develop and maintain relationships with local and international suppliers, manufacturers, OEMs, and service providers.
- Source new vendors and evaluate supplier performance based on quality, pricing, and delivery.
- Coordinate logistics, transportation, courier services, freight forwarding, and customs clearance wherever required.
- Verify supplier invoices against Purchase Orders, delivery documents, and quotations before forwarding them to the Accounts Department for payment processing.
- Monitor pending purchase orders and ensure timely closure of procurement activities.
- Maintain inventory records of critical vessel spares and consumables in coordination with the Technical Department.
- Prepare monthly procurement reports, purchase summaries, cost analyses, and outstanding order status reports for management.
- Coordinate with Classification Societies, shipyards, OEMs, and service providers for procurement of specialized equipment and technical services.
- Identify opportunities for cost savings through effective negotiation, bulk purchasing, and long-term supplier relationships.
- Maintain complete confidentiality of commercial quotations, pricing, contracts, and procurement information.
- Perform any other procurement and supply chain responsibilities assigned by the Management from time to time.
Required Skills
- Strong knowledge of marine machinery, vessel equipment, and offshore vessel spare parts.
- Experience in manual procurement and purchase documentation.
- Good understanding of offshore vessel operations and technical requirements.
- Knowledge of import/export procedures and logistics will be an added advantage.
- Proficiency in Microsoft Excel, Word, and Outlook for preparing purchase comparisons, maintaining records, and correspondence.
- Ability to prepare purchase comparisons, maintain procurement registers, and track outstanding orders manually.
- Strong communication, analytical, and organizational skills.
- Ability to prioritize urgent vessel requirements and work under pressure.
- High level of integrity, attention to detail, and commercial awareness.
