Role Overview
The Project Engineer is a critical cross-functional role bridging design, construction, and client management. The position owns project coordination, site follow-ups, drawing management, contract administration, invoice preparation, and client billing — ensuring projects progress on schedule, within scope, and in line with contractual obligations. The role reports directly to the Managing Director and serves as the primary coordination point between Vertex's teams, clients, contractors, and regulatory stakeholders.

Key Responsibilities
PROJECT COORDINATION & MONITORING
- Maintain project master schedules in MS Project — track milestones, drawing issue dates, site progress, and approval timelines.
- Conduct regular site visits, document observations, and report deviations with corrective actions.
- Coordinate multi-disciplinary drawing sets (structural, architectural, MEP) and manage transmittal logs and revision control.
- Chair or participate in project progress meetings; prepare and circulate minutes of meeting (MOM) and follow up action items.
CONTRACT ADMINISTRATION
- Administer variation orders, change requests, and scope additions — maintain variation registers and obtain approvals.
- Draft contractual correspondence — letters, notifications, extension of time requests, and clarification notes.
- Coordinate with sub-consultants, third-party vendors, and specialist agencies, managing their deliverables and integration.
- Maintain a compliance register tracking insurance, statutory submissions, inspection hold points, and reporting schedules.
INVOICE PREPARATION & BILLING
- Prepare and submit client invoices per milestone or monthly payment schedules defined in the project contract.
- Maintain a billing register — invoice numbers, amounts, GST, submission dates, payments received, and outstanding balances.
- Follow up with clients on outstanding payments; prepare monthly revenue reports for management review.
- Coordinate GST documentation, e-invoicing, and TDS deduction tracking with the accounts function.
CLIENT FOLLOW-UP & SITE COORDINATION
- Maintain a structured client follow-up log — correspondence, proposal status, and next-action tracking for all active projects.
- Prepare and dispatch monthly project status reports to clients covering progress, milestones, and pending decisions.
- Raise and track RFIs; manage contractor submittals — shop drawings, material approvals, ITPs.
- Monitor construction quality; raise non-conformance reports (NCR) where deviations are observed against drawings and specs.
Requirements
- B.E. Civil Engineering or B.Tech (Civil). PG in Construction / Project Management is an added advantage.
- 5 to 8 years in a project management, PMC, or design consultancy role with site coordination experience.
- Practical knowledge of construction processes, structural/architectural drawing reading, and IS codes.
- Proven experience in invoice preparation, client billing, and contract documentation.
- Strong written English and Tamil for professional correspondence and reports.
Technical Skills
MS Project Required – scheduling, Gantt charts, milestone tracking
AutoCAD (Reading) Required – interpret architectural and structural drawings
MS Office Suite Required – Word, Excel (trackers, billing), PowerPoint
Contract Admin Required – variation orders, contractual correspondence
ERP / Tally Preferred – invoice generation, payment tracking
