We are looking for a commercially aware, responsible, and highly organized Business Operations & Executive Assistant to work closely with the CEO and support day-to-day business operations. The role involves managing priorities and follow-ups, assisting with email and client communication, coordinating with Project Managers and internal teams, supporting basic finance and accounting activities, maintaining business trackers, and handling general office administration.
Since this position works directly with the CEO and interacts with clients, employees, vendors, and other stakeholders, we are looking for someone with strong ownership, maturity, written communication, organization, confidentiality, and sound judgment.
CEO & Business Support
Review and organize the CEO's inbox and help identify urgent, today, follow-up, and FYI items.
Maintain daily priorities, reminders, pending actions, and follow-up lists.
Draft routine emails and business communications for CEO review.
Maintain confidentiality of business, client, employee, financial, and management information.
Prepare concise daily CEO summaries covering decisions required, pending items, delays, completed activities, and follow-ups.
Client & Business Coordination
Track client commitments, pending responses, proposals, agreements, invoices, payments, and other follow-ups.
Coordinate routine communication with clients and business partners.
Ensure important client requests and commitments are followed through internally.
Maintain appropriate business and client documentation.
Project & Internal Coordination
Coordinate with Project Managers on deliverables, pending activities, deadlines, client concerns, and project status.
Follow up proactively with internal teams for pending actions and updates.
Maintain action trackers with clear owners and due dates.
Escalate important delays, risks, or unresolved matters to the CEO.
Coordinate between the CEO and Project Management, Sales, HR, Accounts, and other teams.
Basic Finance & Accounts Coordination
Maintain Excel trackers for invoices, receivables, expenses, vendor payments, and related business information.
Track outstanding client payments and required follow-ups.
Coordinate with the internal accounts team, accountant, or CA for routine requirements.
Organize invoices, payment records, expense information, and related documentation.
Support basic management-level financial and operational reporting when required.
Meetings, Documentation & Office Administration
Schedule and coordinate important internal and external meetings when required.
Prepare meeting notes and convert discussions into actionable tasks.
Organize proposals, agreements, contracts, client information, presentations, and important correspondence.
Maintain structured digital records for easy retrieval.
Handle routine office administration, vendor coordination, purchases, subscriptions, renewals, travel, logistics, and documentation.
3-4 years of relevant professional experience.
B.Com, BBA, MBA, or equivalent educational background.
Experience in IT Services, SaaS, Staffing, Consulting, FinTech, or Professional Services preferred.
Strong written and verbal English communication.
Good working knowledge of Microsoft Excel, Word, PowerPoint, Outlook/email, and business productivity tools.
Ability to prepare professional emails and communicate confidently with clients and senior professionals.
Strong organizational and follow-up skills with the ability to manage multiple priorities.
Basic understanding of invoices, receivables, expenses, and business accounting terminology.
Good analytical ability, attention to detail, judgment, and confidentiality.
