Core Responsibilities
An Operations Assistant supports the Operations Manager or team in handling the physical movement, documentation, compliance, and administrative side of gold bar trading, storage, and sales. Key areas include:
- Inventory & Vault Management
- Assist with receiving, inspecting, weighing, and storing gold bars and other precious metals.
- Perform daily/periodic stock counts, reconciliations, and inventory updates.
- Track inbound/outbound shipments, verify weights, purity, and assay certificates.
- Help maintain secure vault operations and ensure proper labeling and segregation of stock.
- Trade Processing & Documentation
- Support trade execution by preparing and verifying documents (invoices, delivery notes, certificates of authenticity, transport documents).
- Handle data entry for purchases, sales, and internal records.
- Coordinate with suppliers, refineries, logistics providers, and clients for timely delivery or pickup.
- Assist in settlement processes, including tracking payments and unallocated accounts.
- Compliance & Regulatory Support
- Help with KYC (Know Your Customer), AML (Anti-Money Laundering), and other regulatory documentation.
- Ensure adherence to local laws (e.g., DMCC rules in Dubai, ASIC/AUSTRAC in Australia, or equivalent).
- Maintain accurate records for audits and reporting.
- Administrative & Operational Support
- Prepare daily/weekly reports on inventory levels, transactions, and operational metrics.
- Schedule meetings, manage correspondence, and coordinate with internal teams (sales, finance, security).
- Assist in updating Standard Operating Procedures (SOPs) and company guidelines.
- Handle customer service queries related to orders, delivery, or documentation.
- Support procurement of supplies and ad-hoc projects.
Typical Daily/Weekly Tasks
- Monitor gold market prices and internal systems for discrepancies.
- Reconcile transactions and resolve minor issues with counterparties.
- Book journal entries in the system.
- Assist in client onboarding or order processing.
- File and organize all physical and digital records.
Required Skills & Qualities
- High attention to detail and accuracy (errors can be very costly).
- Strong organizational and multitasking abilities.
- Basic knowledge of precious metals, gold trading, or bullion operations is a plus.
- Proficiency in MS Office (especially Excel), inventory software, and possibly ERP systems.
- Trustworthiness and ability to work in a secure, high-security environment.
- Understanding of compliance (KYC/AML) is often essential.
Pay: ₹18,000.00 - ₹20,000.00 per month
