Job Summary
We are seeking a detail-oriented and proactive Import Export Documentation Executive to join our logistics team. In this role, you will be responsible for handling end-to-end pre-shipment and post-shipment documentation, ensuring full compliance with customs regulations, and managing daily operational communication. The ideal candidate must possess hands-on experience with Indian customs systems and trade documentation software to ensure seamless, error-free cargo movement.
Key Responsibilities
- Documentation Management: Prepare, verify, and process all crucial trade documents, including Commercial Invoices, Packing Lists, Shipping Bills, Bills of Lading (B/L), Airway Bills (AWB), and Certificates of Origin.
- Customs Clearance via ICEGATE: Manage online data verification, duty calculations, and error-free filing of customs documents directly through the ICEGATE portal.
- Software Operations: Efficiently operate ONS Software (CHA/Logistics modules) to generate documentation, cross-verify data prior to submission, and track records.
- Daily Coordination: Act as the primary liaison with shipping lines, freight forwarders, and custom brokers to secure container bookings, obtain freight rates, and track shipment milestones.
- Client Relationship Management: Manage day-to-day operations with clients, providing timely updates on shipment statuses, resolving documentation discrepancies, and ensuring high client satisfaction.
- Data Maintenance: Maintain highly accurate, systematic digital and physical logs of all import-export transactions using MS Office (Excel and Word) for internal auditing and tracking.
Required Skills & Qualifications
Technical Proficiency:
- Must be well-versed in operating ONS Software for clearing and documentation.
- Practical, independent working knowledge of the ICEGATE portal.
- Strong command over MS Office (specifically advanced Excel functions, Word, and Outlook for official email communication).
- Domain Knowledge: Strong understanding of custom clearance procedures, Incoterms, HSN codes, and sea/air freight operations.
- Communication Skills: Excellent written and verbal communication skills to effectively deal with shipping lines, custom authorities, and corporate clients.
- Key Attributes: Exceptional attention to detail, strong organizational habits, and the ability to work under tight shipping deadlines to avoid demurrage/detention charges.
