Role Overview
We are seeking a skilled and motivated Logistics Administrator who can manage the daily clerical records, tracking, and operational tasks required to move temperature-sensitive freeze dried food products safely from farm to factory, and ultimately to retail shelves. Unlike standard distribution roles, this position demands rigid compliance with food safety laws, cold chain maintenance, and batch traceability to prevent contamination.
Key Responsibilities
Inbound & Outbound Inventory Control
- FEFO Dispatching: Allocating inventory for outgoing orders using the First-Expired, First-Out structure to minimize spoilage and waste.
- Cross-Contamination Prevention: Assisting supervisors in assigning separate, designated storage zones for raw vs. cooked goods stock placements.
- Stock Reconciliation: Performing frequent cycle counts to compare active warehouse stock levels against electronic database records
Transport Scheduling & Dispatch Coordination
- Time-Critical Dispatch: Scheduling fixed delivery time slots to avoid raw material delays that interrupt continuous manufacturing assembly lines.
- Carrier Management: Coordinating exclusively with approved refrigerated transport lines, ensuring they hold active clean-vehicle certifications\
- Demurrage Mitigation: Monitoring loading times to ensure perishables are shifted immediately from ambient temp into deep freeze or chill units.
Traceability & Regulatory Documentation
- Lot and Batch Control: Logging and tracking precise lot codes, manufacturing dates, and expiration intervals into ERP software (e.g., SAP) upon arrival and dispatch. [1, 2]
- Mock Recalls: Assisting QA teams by generating instant product distribution logs to simulate product recall protocols within mandatory timeframes.
- Shipping Manifests: Creating specialized Bills of Lading (BOL), health certificates, and phytosanitary permits for domestic transit
Cold Chain & Quality Administration
- Data Logger Management: Downloading, verifying, and filing temperature data records from IoT sensors and refrigerated vehicles upon arrival at the unloading bay.
- Deviation Reporting: Instantly flagging temperature spikes or torn packaging to Quality Control and initiating pre-approved corrective action procedures
