Executive Assistant to the Leadership Team

Position Overview
We are looking for an organized, proactive, and detail-oriented Executive Assistant to support our senior leadership team. In this role, you will act as the primary administrative engine—managing complex calendars, handling confidential communications, planning domestic and international travel, and keeping daily operations running smoothly.
The ideal candidate is a calm multi-tasker who anticipates needs before they arise, communicates clearly across teams, and thrives in a fast-paced environment.
Key Responsibilities1. Executive Administrative Support
- Manage and maintain senior executives' calendars, including scheduling meetings, resolving conflicting priorities, and sending reminders.
- Act as the primary gatekeeper and point of contact for internal and external stakeholders.
- Draft, edit, and proofread emails, memos, reports, and presentations on behalf of the leadership team.
- Handle sensitive and confidential company information with high discretion.
2. Meeting Coordination & Documentation
- Organize internal and external meetings, town halls, and client briefings (booking rooms, setting up video calls, preparing agendas).
- Record detailed minutes of meetings (MoMs) and track action items to completion across departments.
- Prepare briefing materials, slide decks, and documents ahead of key meetings.
3. Travel & Expense Management
- Plan end-to-end travel itineraries (flights, hotels, cab bookings, visa documentation, and local transfers).
- Process monthly expense reports, collect receipts, and coordinate reimbursement processing with the Finance team.
4. Office Operations & Special Projects
- Assist with basic vendor coordination, office supply management, and visitor hosting.
- Coordinate team events, leadership offsites, and holiday celebrations.
- Take ownership of ad-hoc operational tasks and special projects assigned by leadership.
Key Requirements & Skills
- Education: Bachelor’s degree in Business Administration, Communications, Commerce, or any related field.
- Experience: 2 to 5 years of proven experience as an Executive Assistant, Personal Assistant, or Senior Administrative Coordinator supporting mid-to-senior management.
- Communication Skills: Excellent written and spoken English skills; strong interpersonal communication.
- Tech Proficiency: Hands-on experience with Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace (Gmail, Calendar, Docs, Sheets, Slides), as well as video conferencing tools (Zoom, MS Teams, Google Meet).
- Time Management: Strong organizational skills with the ability to prioritize tasks under tight deadlines.
- Problem-Solving: Proactive, self-motivated mindset with high attention to detail.
