Bid Coordinator

Job Summary

We are seeking a detail-oriented and proactive Bid Coordinator to manage the overall bid lifecycle , from analyzing tender requirements to timely submission of proposals through government (GeM) and non-GeM portals. The ideal candidate should have strong communication skills, coordination abilities, and a keen understanding of tendering processes.

Key Responsibilities

Review tender documents (RFP/RFQ/EOI) and analyze scope, requirements, and eligibility criteria.
Coordinate with cross-functional teams (Technical, Finance, Legal, OEMs) to gather required documents.
Prepare, format, and compile bid responses ensuring accuracy and compliance.
Upload tenders on GeM and other e-procurement portals; ensure timely submissions.
Track tender progress, clarifications, amendments, and communicate updates to internal stakeholders.
Maintain documentation , NDAs, OEM authorizations, certificates, pricing approvals, and bid trackers.
Assist in pricing sheet preparation under the guidance of Sales / Management team.
Ensure all submissions follow corporate branding, structure, and legal guidelines.
Engage with OEMs for product details, BOQ support, and authorization letters.
Maintain a database of past bids, templates, and standard documentation for faster turnaround.
Support in bid presentations, compliance matrices, and proposal covering letters.
Post-bid follow-ups: Participate in negotiation and vendor registration processes.
Tender Identification: Monitor various tender portals (such as GEM Portal, E-Procurement, E-Tender Portals) to identify relevant tenders, RFPs, and bids. Register the company on these platforms and keep track of deadlines and requirements.
EMD follow-up and to maintain EMD Tracker

Required Skills & Qualifications

Bachelor’s degree in Business Administration, Commerce, IT, or relevant field.
Knowledge of government tender portals (GeM, CPPP, e-Procurement) is highly desirable.
Excellent written & verbal communication skills.
Strong skills in MS Word, Excel, and PDF documentation.
Ability to work under pressure with tight deadlines.
High level of accuracy, confidentiality, and attention to detail.
