Job Summary
The Dispatch Executive is responsible for ensuring the efficient and timely dispatch of goods, coordinating with various departments to manage shipments, and maintaining accurate records to support smooth operations. The role demands attention to detail, strong organizational skills, and the ability to work under pressure to meet deadlines.
Key Responsibilities
- Order Processing & Dispatch Coordination:
- Plan, schedule, and manage the dispatch of goods as per customer orders.
- Coordinate with the warehouse, production, and logistics teams to ensure timely dispatch and delivery.
- Prepare dispatch schedules and monitor progress to avoid delays.
- Documentation & Record Keeping:
- Generate and verify invoices, packing lists, and shipping documents.
- Maintain detailed records of dispatched goods, delivery timelines, and order status.
- Handle any discrepancies in shipping documents and resolve issues promptly.
- Inventory & Stock Management:
- Monitor stock levels to ensure availability of products for dispatch.
- Coordinate with the procurement and production teams for replenishment when required.
- Customer Interaction:
- Communicate with customers to provide updates on delivery schedules.
- Address customer inquiries or complaints regarding dispatch or deliveries.
- Vendor & Transport Coordination:
- Liaise with transport vendors for arranging shipments and negotiating freight rates.
- Ensure that transportation complies with company standards and safety regulations.
- Compliance & Reporting:
- Ensure adherence to company policies, quality standards, and legal compliance for shipments.
- Generate periodic reports on dispatch performance, costs, and issues encountered.
Skills and Qualifications
- Bachelor's degree or equivalent in Logistics, Supply Chain, or a related field.
- 2-4 years of experience in dispatch, logistics, or a similar role.
- Proficiency in using SAP
- Strong organizational and time management skills.
- Excellent communication and problem-solving abilities.
