We are looking for a proactive, organized, and detail-oriented Assistant to the Operations Manager to support the day-to-day operational activities of the organization. The ideal candidate will assist in ensuring smooth office operations by coordinating with vendors, managing administrative tasks, overseeing facility requirements, maintaining operational documentation, and supporting various operational projects.
Key Responsibilities
Operations & Administration
- Assist in managing day-to-day operational and administrative activities.
- Coordinate with internal teams to ensure smooth business operations.
- Maintain operational records, documentation, and reports.
- Support the Operations Manager in executing daily operational tasks.
Vendor & Procurement Management
- Coordinate with vendors, contractors, and service providers.
- Obtain quotations, compare proposals, and follow up on procurement requirements.
- Track purchase orders, deliveries, and ensure timely completion of vendor services.
- Maintain vendor databases and related documentation.
Facility Management
- Coordinate office maintenance, housekeeping, security, and repair work.
- Ensure office infrastructure and facilities are maintained efficiently.
- Monitor office supplies and coordinate replenishment as required.
- Conduct regular facility inspections and report maintenance requirements.
Project Coordination
- Assist in planning and coordinating operational and maintenance projects.
- Follow up with vendors and internal teams to ensure timely completion of assigned tasks.
- Maintain project schedules, documentation, and status updates.
Documentation & Compliance
- Maintain contracts, invoices, purchase records, and vendor documentation.
- Prepare operational reports, MIS reports, and management updates.
- Ensure proper documentation, record keeping, and compliance with company procedures.
General Support
- Identify and help resolve day-to-day operational issues.
- Assist in improving operational processes and efficiencies.
- Support cross-functional teams whenever required.
- Perform any other responsibilities assigned by the Operations Manager or Management.
Qualifications
- Bachelor’s degree in any discipline from a recognized university.
- Minimum 1–2 years of experience in operations, administration, office management, or a similar role.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
- Strong organizational, communication, and coordination skills.
- Ability to multitask, prioritize work, and work independently.
