Personal Assistant to Director (PA)
Job Summary
We are looking for a proactive, adaptable, and energetic Personal Assistant to support the Director in day-to-day operations, coordination, and strategic activities. The ideal candidate should be quick to learn, comfortable working in a dynamic and challenging environment, and capable of handling multiple responsibilities with professionalism and efficiency.
Key Responsibilities
- Manage and coordinate the Director’s schedule, meetings, appointments, and follow-ups.
- Handle inquiries, communication, and coordination with internal and external stakeholders.
- Support with digital marketing coordination, social media follow-ups, and promotional activities.
- Manage social media posts, blogs, LinkedIn updates, and professional communication on behalf of the Director and the company.
- Manage and monitor Google Business Profile reviews, responses, and online engagement activities.
- Handle CRM updates, client follow-ups, and maintain strong client relationships on behalf of the Director.
- Track project milestones, timelines, and ensure timely follow-ups with teams.
- Coordinate quotations, vendor communication, and vendor management activities.
- Assist in preparing project proposals, contracts, agreements, and MOUs.
- Support in preparing Bills of Quantity (BOQ), market feasibility reports, and related documentation.
- Manage payment follow-ups and coordination with clients/vendors when required.
- Oversee basic asset management and general administrative work.
- Prepare reports, documents, presentations, and meeting notes as required.
- Coordinate travel plans, meetings, and event arrangements whenever required.
- Work closely with different departments for smooth communication and execution.
- Ensure timely task tracking and execution in a fast-paced environment.
- Utilize AI tools and technology platforms for operational efficiency and assist in hiring coordination whenever required.
- Maintain strict confidentiality regarding company operations, client information, internal discussions, and business-related data.

- Comfortable with travel for meetings/events if required.
- Problem-solving mindset with a proactive approach.
- Strong follow-up and coordination abilities.
- Professional approach towards client and vendor management.
Preferred Qualification
- Graduate in any discipline.
- Prior experience as a PA, coordinator, executive assistant, or similar role is preferred.
- 1 - 3 with excellent communication and learning attitude may also apply.
Job Types: Full-time, Permanent
Pay: ₹40,000.00 - ₹60,000.00 per month
Ability to commute/relocate:
- Science City, Ahmedabad, Gujarat: Reliably commute or planning to relocate before starting work (Preferred)
