Job Summary
We are seeking a proactive and detail-oriented Office Coordinator to manage and coordinate office operations in our growing solar energy company. The ideal candidate should have a B.Tech qualification (mandatory) with a minimum of 3 years of relevant experience in office coordination, documentation, quotations, and financial administration. Excellent spoken and written English is mandatory.
Key Responsibilities
- Prepare accurate quotations and proposals for customers.
- Coordinate order confirmations and ensure timely processing.
- Handle tender documentation, bid submissions, and maintain tender records.
- Maintain project, customer, vendor, and company documentation.
- Follow up on customer receivables and coordinate with the finance team for timely collections.
- Assist in invoice preparation, payment tracking, and other financial documentation.
- Coordinate with the Sales, Procurement, Accounts, and Project Execution teams.
- Maintain MIS reports, office records, and operational documents.
- Track order status and provide regular updates to internal stakeholders.
- Ensure compliance with company policies and documentation standards.
- Perform general office administration and coordination activities.
Qualifications
- B.Tech (Mandatory) – Preferably in Electrical, Electronics, Mechanical, Civil, or a related engineering discipline.
- Minimum 3 years of experience in Office Coordination, Administration, Documentation, Tender Handling, or a similar role.
- Experience in the solar, electrical, construction, EPC, or renewable energy industry will be an added advantage.
Required Skills
- Fluency in spoken and written English (Mandatory).
- Excellent communication and interpersonal skills.
- Strong knowledge of Microsoft Excel, Word, and other MS Office applications.
- Experience in quotation preparation and tender documentation.
- Good understanding of receivables follow-up and financial documentation.
- Strong organizational and multitasking abilities.
- High attention to detail and problem-solving skills.
- Experience with ERP software is an added advantage.
