Overview
Build The Blueprint and Arc & Eden are looking for an Executive Assistant & Project Coordinator to work directly with the founder and oversee the day-to-day coordination of projects, teams and operations.
This is a high-ownership role requiring exceptional organizational skills, strong communication and the ability to manage multiple moving parts simultaneously. The ideal candidate should be proactive, dependable and capable of bringing structure, clarity and follow-through to a fast-paced environment.
This role extends beyond administration. You will be involved in planning, coordination and execution across all aspects of Build The Blueprint and Arc & Eden, ensuring that nothing falls through the cracks.
Key Responsibilities
Founder Support
- Work directly with the founder on day-to-day planning and execution.
- Manage calendars, schedules and meetings.
- Assist with emails, communication and follow-ups.
- Prioritize tasks and maintain project timelines.
- Act as a central point of coordination.
Project Coordination
- Coordinate with all internal teams and external stakeholders.
- Track tasks, deadlines and deliverables.
- Ensure projects progress smoothly and efficiently.
- Maintain checklists and operational systems.
- Follow up with team members and vendors.
Operations & Administration
- Organize files, documents and databases.
- Maintain records and meeting notes.
- Assist with research and planning.
- Support day-to-day administrative functions.
Event Coordination
- Coordinate speakers, partners, vendors and volunteers.
- Assist with logistics and scheduling.
- Ensure smooth execution leading up to and during the event.
- Handle last-minute issues and operational requirements.
- Support on-ground event management.
Team Management
- Coordinate with designers, content creators and operations teams.
- Monitor progress and maintain accountability.
- Ensure information flows effectively across teams.
- Help maintain structure and organization.
Required Skills
