We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior executives. The ideal candidate will be a professional and discreet individual capable of managing multiple priorities, maintaining strict confidentiality, and anticipating the needs of the executives to ensure smooth day-to-day operations. This role requires exceptional communication skills, a strong ability to work independently, and a proven track record of supporting high-level leadership in a fast-paced environment.
- Manage complex calendars, including scheduling meetings, appointments, and conferences, and resolving scheduling conflicts efficiently.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, ground transportation, and detailed itineraries.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and professional presentation.
- Act as a primary point of contact and liaison between the executives and internal/external stakeholders, screening calls and directing inquiries appropriately.
- Organize and coordinate internal and external meetings, including preparing agendas, distributing materials, arranging catering, and taking comprehensive meeting minutes.
- Process expense reports, invoices, and other financial documents, ensuring compliance with company policies and timely submission.
- Handle confidential and sensitive information with the utmost discretion and integrity.
- Conduct research, compile data, and prepare reports as requested by executives.
- Assist with special projects and initiatives, providing administrative support and coordination as needed.
- Maintain an organized filing system for important documents, both physical and digital.
- Manage office supplies and equipment, ensuring executives have necessary resources.
- Anticipate executive needs and proactively address potential issues or requirements.
Traveling will be involved 30-40% of the times.
