Position Summary
The Client Experience Concierge - Front Office is a dual-role position that serves as both
the first point of contact and the end-to-end experience owner for clients visiting the clinic.
This role blends front desk operations, patient coordination, and luxury service delivery,
ensuring that every client journey is seamless, personalized, and reflective of the clinic’s
premium standards.
From explaining the program to potential clients, welcoming clients to guiding them through
their entire care journey, this individual plays a critical role in shaping the overall experience
at Three 5 Reviv.
Key Responsibilities
● Educate and orient potential clients on programs, services, benefits, and steps in
their care journey
● Serve as the primary point of contact, delivering a warm, professional, and discreet
welcome to all clients and visitors
● Act as a dedicated guide for clients throughout their clinic journey, ensuring smooth
and timely transitions across all services
● Coordinate appointments, schedules, and real-time care flow across clinical and
operational teams
● Ensure a seamless, well-orchestrated, and reassuring experience across
consultations, diagnostics, and therapy sessions
● Manage front-of-house operations, including appointments, confirmations,
cancellations, and follow-ups using clinic systems
● Handle all client communications (calls, emails, messages) with clarity, courtesy, and
strict confidentiality
● Support clinicians by managing patient flow, timing, and essential administrative
coordination
● Anticipate client needs and proactively address queries or concerns with empathy
and professionalism
● Maintain accurate documentation, confidential client records, and billing-related
information in line with clinic protocols
● Collaborate closely with clinical and operations teams to ensure timely, efficient, and
high-quality service delivery
● Uphold clinic standards related to hygiene, aesthetics, privacy, and overall experience
excellence
● Monitor and maintain front office readiness, including forms, inventory, and daily
operational checklists
● Escalate and resolve client concerns appropriately to ensure service recovery and
client satisfaction
● Be available to respond to calls from clients after and before office hours
Qualifications & Experience
● Bachelor’s degree in any discipline
(Healthcare, Hospitality, Psychology, Business, or related fields preferred)
● 2–4 years of experience in hospitality, healthcare services, luxury client handling, or
patient coordination roles
● Strong service orientation with a polished, client-first mindset
● Excellent communication, coordination, and interpersonal skills
● High attention to detail with the ability to manage multiple client touchpoints
smoothly
● Comfort working in a premium, high-expectation clinical environment
● Familiarity with digital systems, CRM tools, or scheduling platforms is an advantage
