Role Overview
We are looking for a responsible and technically curious Service Operations Executive to support our customer service, after-sales, installation, and spare-parts operations.
The candidate will use Zoho Desk, Zoho CRM, and other Zoho One systems to manage service requests, customer communication, technician coordination, planned installations, and case closures.
Most workflows, reminders, task creation, and reports are system-driven or automated. The role requires accurate system updates, timely follow-up, and ownership of cases rather than extensive manual reporting.
Gym-equipment experience is not required. Product and technical training will be provided under the Service Manager.
Key Responsibilities
Customer Service and After-Sales Coordination
- Acknowledge and understand customer service requests.
- Collect required information such as invoice details, photos, videos, serial numbers, and issue descriptions.
- Communicate clearly with customers through phone, WhatsApp, email.
- Provide timely updates until the issue is resolved.
Zoho Desk and CRM Management
- Create, update, assign, and close service tickets accurately.
- Maintain proper case notes, customer communication, issue category, status, and closure details.
- Follow automated reminders, workflows, and pending-task alerts.
- Ensure no service request remains unattended or incorrectly updated.
Technician and Installation Coordination
- Coordinate planned installations and service visits with customers and technicians.
- Share complete job details, location, product information, and issue details with technicians.
- Confirm schedules and follow up until completion.
- Collect installation or service completion reports, photos, and customer confirmation.
Basic Technical Troubleshooting
- Conduct basic troubleshooting over phone or video using company SOPs and checklists.
- Understand common assembly, alignment, electrical, mechanical, and spare-part issues.
- Escalate complex cases to the Service Manager with complete and structured information.
Spare-Parts Coordination
- Coordinate approved spare-part requirements against service tickets.
- Follow up for spare picking, dispatch, delivery, and installation.
- Track faulty-part returns and update spare usage in the system.
- Support the Service Manager in maintaining accurate spare-part records.
Preventive Maintenance and Service Follow-Up
- Coordinate scheduled preventive-maintenance visits through system-generated tasks.
- Follow up with customers and technicians for timely completion.
- Confirm customer satisfaction before closing the service case.
Candidate Profile
Qualification
- Diploma or ITI in Mechanical, Electrical, Electronics, Automobile, Mechatronics, or a related field is preferred.
OR
- Any graduate with relevant experience in customer service, service coordination, technical support, or after-sales operations.
Experience
- 1 to 3 years in customer service, technical support, field-service coordination, service centres, or after-sales operations is preferred.
- Freshers with strong communication, technical aptitude, and willingness to learn may also apply.
Required Skills
- Good communication in Marathi and Hindi
- Basic written and spoken English
- Professional and patient customer handling

- Basic mechanical or electrical understanding
- Comfortable using CRM, ticketing software, WhatsApp, email, and digital tools
- Ability to understand technical photos and videos
- Accurate system-updating and documentation habits

The selected candidate will be expected to:
- Acknowledge customer complaints within four working hours.
- Maintain accurate and timely updates in Zoho Desk and CRM.
- Coordinate technicians, installations, and spare parts without repeated follow-up.
- Keep customers informed throughout the resolution process.
- Handle routine service cases independently within three to four months.
- Escalate complex cases with complete information and clear observations.
- Develop into a dependable second line for service operations.
