Equip Exports is a US & Canada based company in operation for the last 18 years, headquartered in Toronto, ON. We provide electronic recycling (e-waste) services to clients across North America and operate as a wholesale buyer of IT equipment. As the next stage of our growth, we are establishing our first overseas Sales & Marketing arm — a 20-30 seats voice sourcing and digital marketing floor in Madhapur, Hyderabad — to power our North American client and supplier acquisition
About the Role
We are looking for a detail-oriented Accountant/Administrator to join as part of the founding team. You'll manage day-to-day bookkeeping, office expenses, employee time tracking, and general administrative operations. This role operates on a night shift aligned to US business hours.
Key ResponsibilitiesAccounting & Bookkeeping
· Maintain day-to-day bookkeeping records using QuickBooks
· Track and record all office expenses in the system
· Experience with local Indian accounting/compliance systems (e.g., Tally ERP/Prime) and familiarity with GST, TDS, and statutory filing requirements
· Basic knowledge of US/CA bookkeeping
Payroll & Compliance
· Track employee working hours, shift attendance, and overtime
· Process payroll inputs including PF (Provident Fund), ESI (Employee State Insurance), and Professional Tax
· Manage TDS deductions and filings
· Handle GST reconciliation and filing coordination (with external CA/consultant if applicable)
· Ensure compliance with the Shops & Establishment Act and other local labor regulations
· Maintain statutory registers and documentation required for audits/inspections
Administrative Duties
· Coordinate with Charted accountant, payroll providers, consultants, or other professionals when necessary
· Help management collect and organize documentation required for accounting, payroll, audits, or local administrative requirements
· Monitor important documentation and renewal dates, and inform management in advance
· Ensure financial and administrative documents are properly filed and easily accessible
Employee Records & Team Support
· Maintain attendance and staffing records for the call center team
· Assist management with employee onboarding and offboarding documentation
· Maintain employee contact and emergency information
· Help prepare internal reports requested by management
· Support supervisors and management with administrative tasks related to daily call-center operations
· Help establish organized processes and procedures as the Hyderabad office expands
Requirements
· Bachelor's degree in Commerce, Accounting, Finance, or related field (B.Com/M.Com/MBA-Finance preferred)
· 3-5 years of experience in accounting/bookkeeping and office administration
· Hands-on experience with QuickBooks (required)
· Working knowledge of Tally ERP/Prime (strongly preferred - widely used in Indian accounting practice)
· Solid understanding of GST, TDS, PF, ESI, and Indian payroll compliance
· Proficient in MS Excel and general office software
· Strong attention to detail and organizational skills
· Ability to work independently and manage multiple priorities
· Fluent in English (written and spoken);
