Job Description – Executive Assistant to Managing Director (MD)

Job Summary
The Executive Assistant to the Managing Director will provide high-level administrative and operational support to ensure the efficient functioning of the Managing Director's office. The role requires exceptional organizational skills, strong communication abilities, discretion in handling confidential information, and the capability to coordinate with multiple departments to support business objectives.
Key Responsibilities
- Manage and maintain the Managing Director's calendar, appointments, meetings, and schedules.
- Coordinate internal and external meetings, prepare agendas, and record Minutes of Meeting (MOM).
- Draft, review, and manage official correspondence, emails, reports, presentations, and business documents.
- Act as a point of contact between the Managing Director and internal/external stakeholders.
- Follow up with departments on assigned tasks, projects, and deadlines.
- Prepare management reports, summaries, and presentations as required.
- Organize travel arrangements, accommodation, and logistics for business visits.
- Maintain confidential records, files, and sensitive business information.
- Assist in planning, executing, and monitoring strategic projects and special assignments.
- Ensure timely communication and smooth coordination across departments.
- Track action items from meetings and ensure timely closure.
- Support the Managing Director in day-to-day business operations and administrative functions.
Qualifications & Experience
- Bachelor's Degree in Business Administration, Commerce, Management, or a related field.
- 1 –5 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or a similar role.
- Experience supporting senior management, CEOs, Directors, or Managing Directors is preferred.
