JOB DESCRIPTION – PROCESS COORDINATOR
1. Position Details
- Position Title: Process Coordinator
- Department: Operations / CRM Coordination
- Location: Sindhu bhavan Road and CG road, Ahmedabad
- Reporting To: Branch Head
2. Position Purpose
The Process Coordinator is responsible for ensuring operational discipline, task tracking, CRM coordination, and showroom execution control.
The role acts as a control mechanism to ensure that all teams (Sales, CRM, Accounts, Support staff):
- Follow defined processes
- Complete assigned tasks
- Maintain customer and operational discipline
- Ensure no gaps in execution
3. Key Duties & Responsibilities:
A. Daily Review & Task Monitoring Control
- Attend review meetings and capture action points
- Track execution of all delegated tasks
- Ensure previous day tasks are completed by:
- Sales team
- Accounts team
- Escalate delays and non-compliance
B. CRM & Customer Follow-up Coordination
- Coordinate with CRM team for:
- Pending customer follow-ups
- Walk-in tracking
- Instagram / lead FMS updates
- Ensure no lead or customer is missed
- Support customer conversion tracking
C. Sales Team Discipline & Monitoring
- Ensure grooming checks are completed
- Follow up on:
- Pending customer payments
- Salesperson communication discipline (phone usage, follow-ups)
- Maintain accountability of sales staff
D. FMS & Data Accuracy Control
- Cross-check:
- Walk-in entries in FMS
- CRM entries
- Ensure accurate and timely system updates
- Prevent data gaps and duplication
E. Task Delegation & Execution Tracking
- Assign tasks to:
- Sales team
- Support staff
- New employees
- Track task completion through delegation FMS
- Ensure closure within defined timelines
F. Operational Support & Coordination
- Coordinate with:
- CRM team
- Housekeeping staff
- Internal teams
- Ensure smooth daily operations
- Support execution of meetings and decisions
