About the Role
We are looking for a hands-on and responsible Factory HR & Admin Executive/Officer to manage day-to-day HR and administrative activities at our manufacturing facility.
The role will primarily focus on factory workforce management, attendance verification, overtime management, weekly shift rosters, employee documentation, contractor coordination, employee relations and factory administration.
Payroll processing and statutory compliance activities will be managed centrally by the Head Office HR/Accounts team. The Factory HR will be responsible for providing accurate data, verification, documentation and coordination with HO.
Key Responsibilities1. Factory HR Operations
- Manage day-to-day HR activities at the factory.
- Handle employee joining, documentation, induction, confirmation, transfer and separation formalities.
- Maintain updated employee personnel files and factory HR records.
- Coordinate with department heads and supervisors for manpower requirements.
- Maintain accurate factory manpower records for permanent, temporary and contract employees.
- Ensure HR policies and procedures are implemented at the factory.
2. Attendance Management
- Monitor and verify daily attendance of all factory employees.
- Verify biometric/attendance records and identify discrepancies.
- Track late coming, absenteeism, weekly offs, leave and shift attendance.
- Coordinate with supervisors for attendance corrections and regularisation.
- Prepare and submit weekly and monthly verified attendance data to HO.
- Ensure attendance records are properly maintained and supported by required documentation.
3. Shift Planning & Weekly Roster
- Prepare and maintain the weekly manpower/shift roster in coordination with department heads.
- Ensure employees are deployed as per shift requirements and production needs.
- Monitor shift changes, weekly offs, replacements and manpower shortages.
- Communicate the weekly roster to employees and concerned supervisors.
- Maintain records of roster changes and ensure proper approvals wherever required.
4. Overtime (OT) Management
- Monitor and verify daily overtime worked by employees.
- Ensure OT is undertaken only with the required approval.
- Cross-check OT against attendance, shift roster and actual deployment.
- Prepare weekly OT reports for management/HO verification.
- Ensure accurate OT data is submitted to HO for payroll processing.
- Identify unusual or excessive OT and highlight the same to the Factory Management/HO.
5. Payroll Coordination with HO
- Payroll processing will be managed by the HO team.
- Provide verified monthly attendance, OT, leave and other payroll inputs to HO within the defined timelines.
- Coordinate with HO for any discrepancies in salary inputs.
- Assist employees with basic payroll-related queries and coordinate their resolution with HO.
- Ensure all payroll inputs submitted from the factory are accurate and properly verified.
6. Statutory Compliance Coordination
- Statutory compliance will be managed centrally by the HO HR/Accounts/Compliance team.
- Ensure required employee and contractor documents are collected and maintained at the factory.
- Coordinate with contractors for timely submission of required statutory records.
- Support HO during PF, ESIC, labour law and other compliance audits/inspections.
- Verify and maintain contractor compliance documentation as required.
- Immediately escalate any compliance gaps or missing documents to HO.
7. Contract Labour Management
- Coordinate with manpower/labour contractors for daily workforce deployment.
- Maintain contractor-wise manpower records.
- Verify contractor employee attendance and deployment.
- Ensure required employee documentation is available before deployment.
- Coordinate with HO regarding contractor compliance documentation.
- Monitor contractor discipline, attendance and workforce-related issues.
8. Recruitment & Manpower
- Coordinate recruitment for factory positions such as operators, helpers, technicians, supervisors and other workmen.
- Support sourcing, screening, interviews and joining formalities.
- Coordinate with HO/management for recruitment requirements.
- Ensure manpower is available as per production requirements.
9. Employee Relations & Discipline
- Handle day-to-day employee queries and grievances at the factory.
- Maintain discipline and proper workplace conduct.
- Address absenteeism, late coming and other employee-related concerns.
- Counsel employees where required and escalate serious matters to management/HO.
- Support management in disciplinary actions and documentation.
10. Factory Administration
- Manage day-to-day HR administration activities at the factory.
- Coordinate housekeeping, security, canteen, transportation and other employee/facility-related requirements.
- Maintain administrative records and vendor/contractor documentation.
- Coordinate employee welfare and engagement activities.
- Ensure a safe, disciplined and organised workplace environment.
Qualification
- Graduate in any discipline.
- MBA/PGDM in HR will be preferred.
Experience
3–6 years of relevant experience in Factory HR / Plant HR / Manufacturing HR.
Experience in FMCG, Food Manufacturing, Dairy or Manufacturing industries will be preferred.

Pay: ₹35,000.00 - ₹40,000.00 per month
