Job Summary
We are looking for an Export & Import Documentation Executive to handle and coordinate documentation activities related to export and import shipments. The role involves preparing, verifying, maintaining, and coordinating shipment documents with customers, shipping lines, airlines, overseas agents, customs, and internal teams to ensure smooth and timely shipment processing.
Key Responsibilities
- Handle export and import documentation for shipments.
- Prepare, verify, and process shipment-related documents accurately and within timelines.
- Coordinate with customers for required export/import documents and pending information.
- Prepare and check documents such as Commercial Invoice, Packing List, Shipping Instructions, Bill of Lading, Air Waybill, Certificates, and other relevant shipping documents.
- Coordinate with Shipping Lines, Airlines, Overseas Agents, Customs Brokers, and other service providers for documentation requirements.
- Ensure shipping documents are complete, accurate, and submitted within the required cut-off timelines.
- Coordinate with the Operations, Sales, Customer Service, Pricing, and Accounts teams for shipment-related documentation.
- Verify shipment details, consignee/shipper information, cargo details, freight terms, and other documentation particulars.
- Coordinate for Bill of Lading / Air Waybill preparation, verification, and release as applicable.
- Escalate documentation discrepancies, delays, or critical issues to the reporting manager.
- Perform other documentation and coordination activities assigned by the management.
Required Skills & Competencies
- Good knowledge of Export & Import documentation processes.
- Good understanding of Sea Freight, Air Freight, LCL, and FCL documentation.
- Knowledge of shipping and logistics documentation procedures.
- Good communication and email drafting skills.
- Ability to manage multiple shipments and documentation within deadlines.
- Good knowledge of MS Office, especially MS Excel and Outlook.
Qualification & Experience
- Qualification: Any Graduate / Bachelor's Degree.
- Experience: 2–3 years of experience in Export/Import Documentation, Freight Forwarding, Logistics, Shipping, or a related field preferred.
- Candidates with hands-on experience in export/import documentation will be preferred.
Pay: ₹20,000.00 - ₹25,000.00 per month
