Assistant Centre Manager

Position Summary
The Assistant Centre Manager supports the Centre Manager in ensuring the smooth day-to-day functioning of the preschool. The role involves overseeing school operations, supporting admissions, maintaining parent relationships, coordinating staff, ensuring compliance with health and safety standards, and delivering an exceptional experience for children and families. The Assistant Centre Manager acts as the Centre Manager in their absence and plays a key role in achieving enrolment, operational, and customer satisfaction goals.
Key Responsibilities
Centre Operations
- Assist in managing the daily operations of the preschool.
- Ensure classrooms, reception, play areas, and common facilities are clean, safe, and well-maintained.
- Coordinate housekeeping, security, maintenance, transport, and vendor services.
- Monitor inventory of teaching materials, stationery, cleaning supplies, and equipment.
- Ensure timely resolution of operational issues.
Parent Relations & Customer Service
- Serve as a primary point of contact for parents regarding operational and administrative matters.
- Ensure parents receive prompt, professional, and courteous support.
- Address parent concerns and coordinate resolutions with the Centre Manager.
- Organise parent meetings, orientations, and school events.
- Build strong relationships with families to enhance parent satisfaction and retention.
Admissions Support
- Support the admissions process from enquiry to enrolment.
- Conduct school tours for prospective parents.
- Follow up on admission enquiries and maintain the admissions database.
- Assist in achieving monthly and annual enrolment targets.
- Coordinate documentation and student onboarding.
Staff Coordination
- Support teachers and administrative staff in daily operations.
- Coordinate staff schedules and attendance.
- Ensure adequate staffing during school hours.
- Assist in organising staff meetings and training sessions.
- Foster a positive and collaborative work environment.
Administration
- Maintain student records, attendance, and administrative documentation.
- Ensure timely preparation of reports and operational records.
- Coordinate fee collection follow-ups with the accounts team.
- Maintain confidentiality of student and staff information.
Health, Safety & Compliance
- Ensure compliance with all preschool safety policies and procedures.
- Conduct regular safety inspections of classrooms and play areas.
- Coordinate emergency drills and first-aid readiness.
- Ensure child safeguarding practices are followed at all times.
- Maintain compliance with statutory and local regulatory requirements.
Event Management
- Assist in planning and executing annual functions, celebrations, sports days, field trips, and special events.
- Coordinate logistics, vendors, and parent communication for events.
- Ensure events are executed smoothly and safely.
Financial Support
- Assist in monitoring operational expenses.
- Help maintain budgets for centre operations.
- Coordinate vendor invoices and purchase requests.
- Ensure efficient utilisation of centre resources.
Qualifications
- Bachelor's degree in Business Administration, Education, Management, or a related field.
- Diploma or certification in Early Childhood Education is an advantage.
Experience
- 3–6 years of experience in school administration, preschool operations, hospitality, retail, customer service, or educational management.
- Experience in admissions or centre operations is preferred.
- Experience working in a preschool or K–12 school environment is desirable.
