The Ward Secretary (Typist) is responsible for providing administrative and typing support to the inpatient ward. The role involves preparing and typing ward summaries, discharge summaries, medical reports, maintaining patient records, coordinating with consultants and nursing staff, and ensuring timely and accurate clinical documentation in compliance with hospital and NABH standards.
Qualification
- Bachelor's Degree in any discipline (preferred).
- Diploma/Certification in Computer Applications, Medical Transcription, Medical Records, or Office Administration is an added advantage.
- Good typing skills in English (Tamil typing is an added advantage).
- Proficiency in MS Office and Hospital Information System (HIS).
Experience
- 1–3 years of experience as a Ward Secretary, Medical Typist, Ward Clerk, or Medical Transcriptionist in a hospital.
- Experience in typing clinical documents and discharge summaries is preferred.
Key Responsibilities
- Type ward summaries, discharge summaries, operative notes, medical reports, certificates, referral letters, and other clinical documents as dictated by consultants.
- Ensure all typed documents are accurate, complete, and submitted within the required turnaround time.
- Prepare, organize, and maintain patient medical records and files.
- Coordinate with consultants, nursing staff, medical records, billing, laboratory, pharmacy, and other departments for smooth patient care.
- Update patient information in the Hospital Information System (HIS).
- Assist in admission, transfer, and discharge documentation.
- Print, compile, and arrange discharge files with all required reports and investigations.
- Maintain confidentiality of patient information and medical records.
- Verify documentation for completeness before forwarding records for discharge or medical records.
- Attend telephone calls and communicate messages to the concerned healthcare professionals.
- Maintain ward registers, documentation logs, and daily reports.
- Ensure compliance with hospital policies, NABH standards, and documentation protocols.
- Report documentation discrepancies to the Ward In-charge or Consultant for correction.
- Assist with other administrative and clerical duties assigned by the Ward In-charge or Nursing Superintendent.
Knowledge & Skills
- Excellent English typing speed and accuracy.
- Knowledge of medical terminology and clinical documentation.
- Familiarity with Hospital Information Systems (HIS) and Electronic Medical Records (EMR).
- Good command of MS Word, Excel, and email.
- Strong attention to detail and proofreading skills.
- Good communication and interpersonal skills.
- Ability to prioritize work and meet deadlines.
