Job Description: Admin ExecutiveRole Objective
To provide operational and administrative support to ensure smooth functioning of school facilities, compliance processes, fee coordination, vendor management, and internal communication.
1. Internal Communication Support
Objective: Ensure smooth coordination between departments.
Key Responsibilities:
- Facilitate communication between teachers, staff, and administration.
- Assist in drafting and circulating internal notices and updates.
- Coordinate meetings and maintain minutes of meetings when required.
- Support timely communication of administrative updates.
2. Parent & Student Coordination
Objective: Support effective engagement and service delivery.
Key Responsibilities:
- Assist in addressing parent and student administrative queries.
- Coordinate communication related to school events and activities.
- Support fee-related communication in coordination with accounts department.
- Maintain records of parent interactions and follow-ups.
3. Facility & Infrastructure Support
Objective: Ensure school premises are safe and well-maintained.
Key Responsibilities:
- Monitor cleanliness, maintenance, and upkeep of school infrastructure.
- Coordinate with housekeeping, security, and maintenance staff.
- Report infrastructure issues and follow up for timely resolution.
- Support periodic facility inspections and compliance checks.
4. Resource & Inventory Coordination
Objective: Ensure availability and efficient use of resources.
Key Responsibilities:
- Maintain records of administrative supplies and assets.
- Coordinate procurement requests and follow-up with vendors.
- Assist in stock verification and inventory documentation.
- Ensure proper allocation of resources to departments.
5. Academic & Event Administrative Support
Objective: Support academic and extracurricular activities operationally.
Key Responsibilities:
- Provide administrative assistance to teachers and academic staff.
- Support coordination of examinations, PTMs, and school events.
- Assist in logistics planning for extracurricular activities.
- Maintain documentation related to school programs and activities.
6. Compliance & Safety Support
Objective: Ensure adherence to school policies and safety standards.
Key Responsibilities:
- Assist in maintaining statutory and regulatory compliance records.
- Support implementation of safety protocols and emergency procedures.
- Coordinate safety drills and maintain related documentation.
- Ensure visitor management and security procedures are followed.
7. Fee Collection Coordination
Objective: Support efficient fee administration processes.
Key Responsibilities:
- Assist in preparing fee records and billing data.
- Coordinate communication for fee reminders and overdue follow-ups.
- Maintain documentation related to fee disputes and queries.
- Support implementation of digital payment systems (as guided by management).
8. Vendor & Contractor Coordination
Objective: Ensure timely and quality service delivery.
Key Responsibilities:
- Coordinate with vendors for routine maintenance and services.
- Maintain vendor records, contracts, and service schedules.
- Follow up on work completion and service quality.
- Assist in obtaining quotations and comparing vendor proposals.
9. Budget & Documentation Support
Objective: Maintain financial and operational documentation.
Key Responsibilities:
- Maintain expense records related to maintenance and administration.
- Assist in preparing budget utilization reports.
- Track invoices and coordinate with accounts for payments.
- Support documentation required for audits and inspections.
Preferred Qualifications & Skills
- Bachelor’s degree in Administration / Commerce / Management.
- 2–4 years of administrative experience (preferably in a school setup).
- Strong coordination and communication skills.
- Basic knowledge of budgeting and vendor handling.
- Proficiency in MS Office and school ERP systems.
