1. Role Overview
The Documentation Executive will be responsible for supporting the technical, scientific and administrative documentation requirements of SEED and G3 Renewables.
The role requires an individual with strong writing, research, presentation and documentation skills who can convert technical and scientific information generated by the R&D and QC teams into DPRs, technical reports, scientific documents, presentations, proposals, official correspondence, SOPs, research summaries and other professional communication materials.
The candidate will work closely with the Head of SEED and the R&D, QC, microbiology and process-development teams to ensure that G3R's technical knowledge and intellectual work are properly documented, organized and communicated.
2. Key Responsibilities
A. Technical & Scientific Documentation
- Prepare, edit and format technical reports generated by SEED.
- Convert laboratory observations, experimental results and R&D findings into structured technical documentation.
- Prepare scientific summaries, literature reviews, research notes and technical briefs.
- Assist scientists and R&D personnel in documenting experiments, methodologies, results and conclusions.
- Maintain records of ongoing and completed R&D projects.
- Prepare technical narratives for new technologies, processes and products.
- Assist in preparing research papers, conference papers, abstracts and technical articles.
- Maintain scientific references, literature databases and research documentation.
- Ensure consistency in scientific terminology, formatting and referencing.
B. DPR & Project Documentation
- Assist in preparing Detailed Project Reports (DPRs) for G3R projects.
- Compile technical, operational, environmental and financial information provided by various departments into structured DPRs.
- Prepare project descriptions, technology sections, process descriptions, implementation schedules and operational plans.
- Assist in preparing feasibility reports, concept notes, project proposals and bank-submission documents.
- Coordinate with technical and management teams to collect information required for DPR preparation.
- Maintain standard templates and formats for recurring project documentation.
- Review documents for consistency, completeness, grammar and professional presentation.
C. Presentation & PowerPoint Development
- Prepare professional PowerPoint presentations for G3R management, investors, government bodies, clients, conferences and exhibitions.
- Convert technical and scientific information into clear and visually understandable presentation content.
- Prepare process-flow presentations, R&D updates, project presentations, technology presentations and management reports.
- Create charts, tables, diagrams, timelines and other information graphics using appropriate software.
- Maintain consistency in G3R and SEED presentation formats and branding.
- Assist senior management in preparing presentations for meetings, conferences and stakeholder discussions.
D. Official Letters & Correspondence
- Draft official letters, applications, responses, proposals and communications on behalf of G3R/SEED.
- Assist in preparing correspondence with government departments, local bodies, research institutions, clients, investors, banks and other stakeholders.
- Prepare technical responses and explanatory letters based on inputs from the concerned technical personnel.
- Proofread and professionally format outgoing correspondence.
- Maintain records of important technical and official communications.
E. Scientific Writing & Research
- Conduct literature searches using reliable scientific and technical sources.
- Summarize scientific publications and technical reports relevant to G3R's R&D activities.
- Assist in preparing scientific manuscripts, review articles, technical notes and research summaries.
- Support preparation of documentation for patents, intellectual property and technology disclosures.
- Maintain organized records of research papers, patents, standards, regulations and relevant technical references.
- Assist scientists in converting research findings into publishable or presentation-ready material.
- Maintain appropriate citation and referencing standards.
F. SOPs, Manuals & Process Documentation
- Assist in preparation and formatting of Standard Operating Procedures (SOPs).
- Document laboratory, QC, factory and R&D procedures based on technical inputs from respective teams.
- Prepare work instructions, checklists, forms and process manuals.
- Maintain revision-controlled copies of technical documents.
- Ensure obsolete versions are appropriately archived.
- Assist in developing standardized documentation systems across SEED.
G. R&D Knowledge Management
- Develop and maintain a structured SEED technical knowledge repository.
- Organize R&D reports, experimental data summaries, literature, presentations, SOPs and technical documents.
- Maintain project-wise documentation and version control.
- Ensure important technical knowledge is not lost when projects or personnel change.
- Assist in creating searchable digital archives for G3R's R&D activities.
- Support documentation of institutional knowledge, methodologies and technology-development milestones.
H. Data Compilation & Coordination
- Collect technical information from R&D, QC, microbiology and factory teams.
- Consolidate information from multiple sources into coherent reports and presentations.
- Coordinate with team members to obtain missing data, photographs, test results and supporting documents.
- Maintain deadlines for documentation assignments.
- Follow up with relevant personnel for pending inputs.
- Ensure that documents are completed within agreed timelines.
3. Required Skills

- Basic understanding of biotechnology, microbiology, environmental science, waste management, biorefinery or related fields.
- Knowledge of graphical presentation tools is an advantage.
- Basic understanding of data analysis and visualization.
4. Educational Qualification
Preferred:
- M.Sc. / B.Sc. in Biotechnology

- or another relevant scientific/technical discipline.
Candidates from English, Technical Communication, Journalism or Documentation backgrounds with strong scientific writing capabilities may also be considered.
5. Experience
Preferred: 1–3 years of experience in any combination of:

9. Ideal Candidate Profile
The ideal candidate is someone who can sit with a scientist, understand what they are working on, ask the right questions, conduct supporting literature research, and then turn that information into a scientific report, DPR section, SOP, PowerPoint presentation, official letter or technical proposal without losing the technical meaning.
The candidate should therefore combine scientific curiosity + excellent writing + documentation discipline + presentation skills + research ability.
Key Requirement
The person should not merely be a typist or document formatter. They should be capable of understanding technical information and transforming it into high-quality scientific and professional documentation.
