Job Summary
We are looking for a responsible and organised HR, Admin & Accounts Executive to manage day-to-day HR and administrative activities, basic accounting work, client coordination, and office operations. The candidate should be proactive, detail-oriented, and capable of handling multiple responsibilities efficiently.
Key ResponsibilitiesHR & Employee Management
- Manage employee onboarding, joining formalities, documentation, and exit formalities.
- Maintain employee records, attendance, leave, and other HR-related documentation.
- Coordinate recruitment activities, including candidate screening, interview scheduling, and follow-ups.
- Prepare appointment letters, confirmation letters, experience letters, and other HR documents.
- Coordinate payroll-related inputs and employee information.
- Assist in implementing HR policies and maintaining employee discipline.
Accounts & Tally Work
- Perform day-to-day accounting and bookkeeping activities.
- Record and maintain accounting transactions in Tally Prime.
- Assist in preparation of sales and purchase entries, receipts, payments, journal entries, and bank-related transactions.
- Maintain proper records of invoices, expenses, and other financial documents.
- Assist in bank reconciliation and basic accounting finalisation work.
- Coordinate with the accounts team for routine accounting and documentation requirements.
Client Coordination
- Coordinate with clients for collection of documents, information, confirmations, and other requirements.
- Follow up with clients for pending information and documents.
- Communicate with clients through email, WhatsApp, and telephone in a professional manner.
- Coordinate internally with the accounting, taxation, audit, and compliance teams for client requirements.
- Maintain proper records of client communications and follow-ups.
- Assist in scheduling client meetings and coordinating appointments.
Office Administration
- Handle day-to-day office administration and ensure smooth functioning of the office.
- Manage office stationery, supplies, housekeeping, maintenance, and other administrative requirements.
- Coordinate with vendors and service providers.
- Maintain office records, agreements, bills, and administrative documentation.
- Assist in organising meetings, events, employee activities, and office functions.
General Responsibilities
- Maintain confidentiality of client, employee, and firm-related information.
- Ensure timely completion of assigned tasks and follow-ups.
- Assist management in routine administrative and operational activities.
- Coordinate with different departments and ensure smooth flow of information.
- Perform any other duties assigned by the management from time to time.
Required Skills
- Good knowledge of Tally Prime and basic accounting.
- Good knowledge of MS Excel, Word, and other office applications.
- Strong communication and client-handling skills.
- Good organisational and follow-up skills.
- Ability to manage multiple responsibilities simultaneously.
- Good attention to detail and documentation skills.
- Professional and presentable approach.
- Ability to work independently as well as in a team.
Qualification
Bachelor’s degree in Commerce, Business Administration, Human Resources, or a related field.
Candidates with experience in a CA firm, accounting firm, or professional services firm will be preferred.
