The Project Coordinator – Procurement applies developing business process and project management skills within procurement and source-to-pay operations to support business objectives. This role manages defined portions of projects, provides administrative and logistical support to project teams, and ensures smooth coordination across procurement, sourcing, finance, quality, engineering, and operations functions. The incumbent supports procurement transformation initiatives, supplier onboarding, change management activities, and process improvement efforts while ensuring compliance, operational continuity, and effective stakeholder engagement.
Key Responsibilities
- Support and coordinate procurement-related projects by applying project management principles, business process knowledge, and operational expertise.
- Serve as a key resource for project teams by tracking deliverables, milestones, issues, and risks to ensure timely execution.
- Monitor project progress and communicate status updates, risks, and dependencies to project managers and stakeholders.
- Assist in project planning, budget tracking, timeline development, and resource allocation.
- Manage project risks and issues using structured problem-solving and quality tools; drive corrective and preventive actions.
- Maintain project documentation, notes, databases, dashboards, and reporting records to ensure visibility and governance.
- Support supplier onboarding, supplier master data management, and vendor governance activities within procurement systems.
- Lead and support supplier-side change initiatives, including process improvements, compliance updates, and operational transitions.
- Act as an escalation point for procurement-related issues involving suppliers, systems, and internal stakeholders.
- Ensure smooth collaboration between procurement, sourcing, finance, quality, engineering, and operations teams.
- Proactively monitor procurement systems, identify process gaps, and drive resolution to ensure uninterrupted operations.
- Facilitate brainstorming and continuous improvement sessions to identify opportunities for automation, innovation, and efficiency gains.
- Document best practices, lessons learned, and improvement initiatives for knowledge sharing across teams.
- Drive improvements in cycle time, process efficiency, SLA adherence, and reduction of transactional errors or rejections.
- Support change management initiatives and ensure adoption of new tools, processes, and compliance requirements.

- Strong data analysis, reporting, and dashboard management skills.
Experience
- Minimum 8+ years of relevant experience in Procurement, Supply Chain, Supplier Management, or Source-to-Pay operations.
- Hands-on experience in supplier onboarding, supplier master data management, and vendor governance.
- Experience managing procurement projects, change management initiatives, or operational transformation programs.
- Prior experience leading teams or coordinating workstreams in a global environment is preferred.
- Experience working with cross-functional global stakeholders and supporting process improvement initiatives.
Work Location & Shift
- Location: Pune, India (IOC)
- Shift: Night Shift (US Hours) – 05:00 PM to 02:00 AM IST
- Working Mode: Hybrid / On-site with flexibility
- Holidays: Applicable as per site holiday calendar (US)
Qualifications
- Bachelor’s degree in Engineering, Business, Supply Chain, Procurement, Operations, or a related field required.
- Master’s degree (MBA or equivalent) preferred, with specialization in Supply Chain, Operations, or Procurement.
- Certifications in Procurement, Project Management (PMP/PRINCE2), Lean/Six Sigma, or Data Analytics are preferred.
