The Executive – HR (Payroll) is responsible for ensuring accurate and timely processing of employee payroll while maintaining compliance with statutory regulations and hospital HR policies. The role includes attendance verification, payroll preparation, statutory compliance, employee records management, HRMS administration, and coordination with Finance to ensure timely salary disbursement.
Key ResponsibilitiesPayroll Management
- Process monthly payroll accurately and within the scheduled timelines.
- Verify attendance, shift rosters, biometric records, overtime, permissions, late arrivals, leave records, and Loss of Pay (LOP) before payroll processing.
- Calculate salaries, allowances, deductions, incentives, arrears, overtime, and final settlements.
- Prepare payroll reports and salary registers for management approval.
- Coordinate with the Finance Department for salary disbursement.
Attendance & Leave Management
- Monitor daily attendance through the biometric attendance system.
- Regularize attendance based on approved documents and management approvals.
- Maintain leave balances and update leave records in the HRMS.
- Follow up with department heads regarding attendance discrepancies.
Statutory Compliance
- Ensure timely processing and compliance of:
- Provident Fund (PF)
- Employees' State Insurance (ESI)
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- Income Tax (TDS), where applicable
- Prepare and maintain statutory records and reports.
- Coordinate with statutory consultants and government authorities whenever required.
HRMS & Employee Records
- Maintain accurate employee master data in the HRMS.
- Update employee information, salary revisions, promotions, transfers, and separations.
- Generate payroll-related MIS reports and analytics.
- Maintain confidentiality of employee payroll and personal information.
Employee Support
- Address employee queries related to salary, deductions, leave balances, and statutory benefits.
- Provide salary certificates, employment certificates, and other payroll-related documents.
- Assist employees in PF, ESI, and other statutory claim processes.
Documentation & Compliance
- Maintain payroll records, statutory registers, and HR documentation.
- Ensure compliance with labour laws, hospital policies, and NABH standards.
- Support internal and external audits by providing payroll-related documents.
Other Responsibilities
- Assist in annual salary revisions and increment processing.
- Support HR audits, inspections, and accreditation requirements.
- Prepare payroll-related MIS reports for management review.
- Perform any other HR responsibilities assigned by the Reporting Manager.
Educational Qualification
- MBA (HR) / MSW (HRM) / MHRM / Bachelor's Degree with relevant HR experience.
Experience
- 2–5 years of payroll experience, preferably in a hospital or healthcare organization.
- Experience in handling payroll for 200+ employees is preferred.
