Job description
We are looking for a detail-oriented Finance & Accounts Executive to manage the day-to-day accounting operations with primary focus on Accounts Receivable (AR), Accounts Payable (AP), General Ledger (GL) maintenance, P&L analysis, and GST/IGST compliance. On the AR side, you will create invoices, define payment terms (Net 15/30/60), and actively follow up with customers to ensure timely collections. On the AP side, you will review vendor invoices for accuracy, schedule payments within agreed terms, and maintain clean vendor ledgers. You will also maintain the General Ledger, assist in monthly P&L preparation, and ensure GST/IGST returns are filed accurately and on time. The ideal candidate is someone who is thorough with numbers, proactive with follow-ups, and can work independently with minimal supervision.
KEY RESPONSIBILITIES
A. Accounts Receivable (AR)
Create and issue GST-compliant invoices (B2B and B2C) for all sales online orders, wholesale, and custom orders — with correct HSN/SAC codes, GST/IGST rates, and tax calculations
Define and communicate payment terms to customers — Net 15, Net 30, Net 60, advance payment, or milestone-based billing as per company policy
Maintain a systematic AR aging tracker — monitor outstanding invoices by customer, amount, and overdue days
Actively follow up with customers on overdue payments — via email, phone, and WhatsApp — with a structured escalation process (7 days, 15 days, 30 days, 45+ days overdue)
Reconcile incoming payments with invoices — match bank receipts, payment gateway settlements, and marketplace payouts with corresponding invoices
Issue credit notes, debit notes, and revised invoices as needed for returns, price adjustments, or billing corrections
Manage advance payments, partial payments, and payment adjustments in customer ledgers
Coordinate with the sales and operations teams to resolve billing disputes, short payments, and unapplied credits
Provide weekly AR aging reports and collection status updates to management
Maintain customer-wise ledgers and provide outstanding statements on demand
B. Accounts Payable (AP)
Receive, review, and verify all vendor invoices, purchase bills, and expense claims before processing for payment
Match vendor invoices against purchase orders, delivery receipts, GRNs, and agreed terms — flag discrepancies before approval
Ensure correct GST/IGST treatment on vendor invoices — verify GSTIN, HSN codes, tax rates, and reverse charge applicability
Schedule and process vendor payments on time as per agreed terms — avoid late payment penalties and maintain healthy vendor relationships
Maintain an AP aging tracker — monitor upcoming and overdue payables by vendor and due date
Reconcile vendor statements with internal records — resolve mismatches, duplicate entries, and short payments
Process employee reimbursements, petty cash claims, and corporate credit card reconciliations
Maintain organized records of all vendor invoices, payment proofs, and supporting documents
Ensure TDS is deducted correctly on vendor payments (194C, 194J, 194H, etc.) and coordinate with the tax team for timely TDS filing
Provide monthly AP reports and cash outflow projections to management
C. General Ledger (GL) Maintenance
Record all financial transactions accurately in the General Ledger with proper account coding and cost center allocation
Post journal entries for accruals, prepaid expenses, provisions, depreciation, and month-end adjustments
Perform monthly bank reconciliation for all business bank accounts — identify and resolve unreconciled items
Reconcile inter-company accounts, suspense accounts, and control accounts on a monthly basis
Maintain and update the Chart of Accounts as needed — ensure consistency and proper classification
Ensure all GL entries are supported by proper documentation and audit trail
Close the books monthly — complete all postings, adjustments, and reconciliations by the defined closing date
Assist in year-end closing, audit preparation, and provide schedules and supporting documents to auditors
D. Profit & Loss (P&L) Analysis
Assist in preparation of monthly Profit & Loss statements with line-item detail
Track revenue, cost of goods sold (COGS), gross margins, operating expenses, and net profit on a monthly basis
Prepare budget vs. actual variance analysis — flag significant deviations and provide explanations
Analyze expense trends by category — identify unusual spends, cost overruns, and areas for savings
Provide margin analysis by product category, customer segment, or sales channel as required
Support management with ad-hoc financial analysis, cost comparisons, and profitability reports
Maintain MIS reports and dashboards for key financial metrics
E. GST & IGST Compliance
Prepare and file GST returns — GSTR-1 (outward supplies), GSTR-3B (monthly summary), and GSTR-9 (annual return) within due dates
Ensure correct classification of GST (intra-state) and IGST (inter-state) on all sales and purchase transactions
Perform monthly ITC (Input Tax Credit) reconciliation — match purchase register with GSTR-2A/2B and follow up with vendors on missing or mismatched invoices
Generate and manage e-way bills for inter-state and high-value goods movement
Ensure reverse charge mechanism (RCM) is applied correctly where applicable
Maintain GST-compliant invoice numbering, documentation, and HSN/SAC code accuracy
Handle GST notices, queries, and assessments in coordination with the CA/tax consultant
Stay updated on GST rule changes, rate revisions, and compliance circulars
Ensure TCS compliance for e-commerce transactions where applicable
Maintain organized GST records and working papers for audit readiness
F. Banking & Reconciliation
Perform daily/weekly bank reconciliation for all business accounts
Reconcile payment gateway settlements (Razorpay, Stripe, PayPal) with sales and bank credits
Track and record fund transfers, LC payments, and forex transactions if applicable
Manage fixed deposit records, business loan schedules, and credit line documentation
G. General Administration
Maintain books of accounts in Tally Prime, Zoho Books, QuickBooks, or designated accounting software
Ensure proper digital and physical filing of all invoices, receipts, contracts, and financial documents
Support statutory compliance — PF, ESI, Professional Tax coordination with HR where needed
Maintain asset register and process depreciation entries
Respond to internal and external audit queries with supporting documentation
REQUIRED SKILLS & QUALIFICATIONS
Must-Have:
2–5 years of experience in a finance and accounts role covering AP, AR, GL, and GST compliance
Strong working knowledge of GST and IGST — return filing (GSTR-1, 3B, 9), ITC reconciliation, e-way bills, HSN/SAC classification, and reverse charge
Hands-on experience creating invoices, defining net payment terms, and following up on customer collections
Experience reviewing and processing vendor invoices with proper PO matching and TDS compliance
Proficiency in accounting software — Tally Prime (ERP 9), Zoho Books, or QuickBooks (at least one is essential)
Strong Excel / Google Sheets skills — VLOOKUPs, Pivot Tables, data validation, and basic MIS reporting
Experience with General Ledger maintenance, journal entries, bank reconciliation, and month-end closing
Understanding of P&L structure and ability to assist in monthly financial reporting
Excellent attention to detail and accuracy in data entry and reconciliations
Strong follow-up and communication skills — confident in chasing customer payments professionally
Ability to work independently and manage deadlines with minimal supervision
Good to Have:
Experience in an e-commerce, retail, or D2C company — understanding of marketplace payouts and payment gateway reconciliation
Knowledge of Zoho One ecosystem (Zoho Books, Zoho Inventory) or QuickBooks Online with bank feeds
Exposure to TDS return filing (24Q, 26Q) and basic Income Tax provisions
Familiarity with import/export documentation and forex accounting
Experience with budgeting, cash flow forecasting, and variance analysis
Working knowledge of audit processes and experience coordinating with external auditors and CA firms
Exposure to payroll processing and statutory compliance (PF, ESI, PT)
Knowledge of automation tools (Zapier, Make.com) for accounting workflow automation
EDUCATION
Bachelor's degree in Commerce (B.Com) or Accounting (mandatory)
M.Com, CA Inter, CMA Inter, or MBA (Finance) is a strong plus
Certification in Tally, GST Practitioner, or any accounting software is a bonus
