Job Summary
The Department Secretary is responsible for providing administrative and secretarial support to the department, ensuring smooth day-to-day operations, maintaining records, coordinating communications, and assisting faculty/doctors/staff in departmental activities.
Key Responsibilities
- Manage department office activities and daily administrative tasks.
- Handle incoming calls, emails, and official correspondence.
- Maintain employee, student, patient, and departmental records/files.
- Prepare letters, reports, meeting minutes, and other documents.
- Coordinate appointments, schedules, meetings, and departmental events.
- Maintain attendance, leave records, and duty schedules.
- Assist in documentation for inspections, audits, and accreditation processes.
- Ensure proper filing and confidentiality of departmental documents.
- Coordinate with HR, accounts, stores, and other departments as required.
- Monitor office supplies and raise requisitions when necessary.
- Support HOD and department staff in routine administrative work.
Qualification
- Bachelor’s Degree in any discipline.
- Diploma/Certification in Office Administration or Computer Applications preferred.
Experience
- Minimum 1–3 years of experience in administrative/secretarial work.
- Hospital or healthcare experience preferred.
Skills Required
- Good communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Good typing and documentation skills.
- Ability to maintain confidentiality and organize records efficiently.
- Time management and multitasking ability.
Pay: ₹15,000.00 - ₹20,000.00 per month
Work Location: In person
